SALARY : R183 438 per annum plus 37% in lieu of benefits 12 months Fixed term contract
Position
CENTRE : Pretoria
REQUIREMENTS : An appropriate 3 year tertiary qualification with two years proven experience in
administration/secretarial OR A Senior certificate coupled with 5 years proven
experience in administration/secretarial. Computer Literacy that would include a
good working knowledge of Microsoft products, especially Microsoft Excel.
Knowledge of general office administration and the ability to operate an efficient
and organised office. Knowledge of basic budgeting and financial management
with the ability to assist in compiling budgets and financial reports. Good
planning, organising and coordinating skills. Problem solving skills in an
administrative environment. Telephone etiquette. Strong interpersonal skills.
Good communication skills (written and verbal). Ability to work under pressure.
Must be able to take responsibility. Report writing skills
DUTIES : The incumbent will be responsible for a wide variety of tasks which includes the
following: Effective Administration Support Retrieve information and perform
provisioning and administrative functions related to the work in the Unit. Render
auxiliary services to the Unit. Check diverse documents for completeness and
correctness. Render assistance to and handle visitors. Liaises with travel
agencies to make travel arrangements. Processes the travel and subsistence
claims for the Unit. Administers matters like the leave registers and telephone
accounts. Receives, records and distributes all incoming and outgoing
documents. Handles the procurement of standard items like stationary,
refreshments, etc Effective Secretarial Support Manage an electronic document
system for the Unit. Receive and direct telephone and electronic calls and
messages for the Unit. Maintenance of filing. Receiving and acknowledging all
correspondence and handling all confidential documents send to the Unit.
Prepare reports, submission and correspondence for the Unit. Preparation of
presentations Effective meeting preparation and minuting Arranges meetings and
events for the Unit. Identifies venues, invites role players, organises refreshments
and sets up schedules for meetings and events. Draft agendas for meetings.
Take accurate minutes of meetings. Safe-keeping of minutes and distribution.
