Purpose of the role:
To carry out administrative duties for the IT department and other duties as appropriate.
Key job deliverables:
Administer accounts – process payments
Handle procurement – Initiate cost saving initiatives; procure goods and deal with vendors
Relieve office administrator – maintain business continuity
Reporting – responsible for completing monthly and weekly 3rd party management and ensure that it is submitted on time, reflecting correct figures. Ensure that all the spreadsheets are up to date and maintained.
Operations – Ensure that broker agreements are competed correctly, FICA checked, completed documentation, issue BI codes and signed off by manager. Make commission payments and prepare payment schedules per operational area. Maintain the status of the schedule and ensure that this is vetted by the heads. Send requests for invoices to external parties, receive invoices and forward to respective heads, receive proof of payment and process reconciliations ensuring payments are correct and on time. Manage the end-to-end process.
Office Administration:
Administer LexisNexis updates. Log MAC’s foe new staff and incidents of faulty equipment. keep i-Net user list up to date. Process filing, stationery, LitePro logbook, external drive logbook and RFD forms for replacement equipment. Complete any ad-hoc tasks as is required.
Administration diploma or relevant qualification
2 years in an administrative capacity
