The Team Assistant is responsible for providing comprehensive administrative support and service to the team in the designated areas. In particular he/ she:
•Acts as a personal assistant and provides administrative support to the relevant Team Leads and team members.
•May provide back-up administration to other areas as advised.
•Performs general administration and secretarial duties for the department
•Processes purchase orders for the team on ISP and does journal entries
•Coordinates travel arrangements, accommodation and itineraries.
•Initiates replies to routine correspondence and handles incoming/outgoing mail
•Assists with preparation of presentation materials.
•Answers, screens calls and takes messages when the team members are out of office and ensures that messages are passed on to the right people accurately.
•Arranges multi-party VC’s, VT’s and teleconferences.
•Processes all payments to external parties and keep accurate records.
•Deals with customer queries and re-direct them to the relevant staff.
•Champions HSSE as a personal value and ensures HSSE is promoted in terms of actions and decisions. Maintains awareness of HSSE legislation and implements action plans to improve HSSE performance and compliance.
•Continually identifies opportunities for improving process, business efficiencies and customer service.
