Internal and External applications are invited from suitably qualified persons to fill the following vacancy in
the Group Secretariat Division at Rietvlei.
COMMITTEE SECRETARY
(HAYBAND –L)
OVERALL RESPONSIBILITY
To provide secretariat services and administrative support to all RW Governance Structures in line with
corporate governance standards and all other applicable legislative and statutory requirements.
PRIMARY DUTIES
Prepare notices, agenda and meeting packs within the prescribed timelines
Attend meetings, record and take minutes
General office administration, planning and coordination
Circulate minutes and communicate resolutions
Collate and follow up on reports, submissions and meeting documentation for compilation of the Board pack
Arrange delivery and ensure timely distribution of meeting documentation
Book the meeting venue, catering and assist with travel bookings
Maintenance of board documents, record keeping and ensuring that documents are readily available
Ensure that minutes are signed by the Chairperson and submitted to records department for safekeeping
Maintain minute books and other statutory registers in accordance with the legal requirements and best governance practices
Type documents, reports and letters for preparation of meetings
Coordinate and facilitate completion of timesheets by Board members
Maintain, update and upload information on the Board portal
Ad hoc duties as required from time to time
JOB REQUIREMENTS
CIS/equivalent qualification in company secretariat
2-3 years’ experience as a committee secretary/committee officer
Proven customer orientation
General administration and/or secretariat experience
MS Office Suite
Willingness to work irregular hours as and when required
