Job Role Summary/Purpose

The Operations Adminmistrator is responsible for creating and maintaing records pertinent to all contractual and transactional outages in Africa region. The primary role is to open job folders and ensure the relevant information is populated with mandatory data to track jobs.

Essential Responsibilities
– Create & issue FSR numbers for Core, TDI & Valpak segments for Africa Region; pull Job Cost reports
– Maintain a database of FSR numbers & BUC_ADN codes issued for each outage
– Identification of vendors & suppliers for PS
– Initiate Know Your Supplier (KYS) process, load and maintain vendors on database
– Process request for Purchases from Service Managers and obtain quotations from vendors
– Validate vendor loaded in database before issuing PO’s as required
– Follow-up with suppliers for final invoices to initiate vendor payment process
– Provide & validate BUC_ADN codes through IBS system
– Validate approving Finance Manager & GBS contacts
– Where original invoices are received from GSI, dispatch to local GBS centres
– Establish Job Folders for all Africa Outages; create folders for project tracking & data management
– Perform regular folder audit to ensure that data is uploaded in various sub-folders in Africa libraries
– Create, edit & update FRMT tasks dates & resources
– Pull weekly report to review dates; report resource allocations by Service Managers to be updated

Qualifications/Requirements
– High school diploma
– Good communication, skills
– Ability to collect & organize information into basic spreadsheets; follow Excel templates
– Detail-oriented; willing to seek out answers to achieve results
– Ability to track costs; advise Operations Leader of metrics outside of performance range
– Curious and learning attitude

Additional Eligibility Qualifications

Desired Characteristics
– College graduate with Bachelors degree
– Experience in creating tables, graphs in MS Excel
– Willingness to learn new processes and skills
– Self-starter; able to understand objectives ands work with minimal supervision
– Willingness to perform under pressure to accomplish goals; meet short-term deadlines
