vacancy in the Group Secretariat Department at Rietvlei.
HEAD ADMINISTRATION SERVICES
(HAYBAND-M)
OVERALL RESPONSIBILITY
To provide support to the Group Company Secretary and the secretariat department with the
overall strategy, manage all administrative activities related to the development and
implementation of Group Secretariat’s objectives.
PRIMARY DUTIES
Provide office and administration support including all logistical arrangements relating to meetings and departmental events
Provide support to the office of the Group Company Secretary, the group secretariat department and liaise with the departmental managers as and when required
Ensure that the departmental targets and deadlines are met
Assist with the planning for the corporate and departmental activities in line with the directives
Assist with monitoring and management of the departmental budget and provide reports
Assist with the compilation of the annual work plan, board developmental plan, arrangement of board inductions, review of board policies and the governance framework
Ensure compliance with the applicable legislation and the governance standards within the organization
Develop and recommend administrative processes and procedures to ensure efficiency
Ensure that the business complies with secretariat guidelines for reports, corporate calendar and any other requirements
Attending meetings and record the proceedings, draft minutes and responsibility matrix, extracts and resolutions
Maintain and update the Board Portal [web based communication site for Board members]
Compile management reports and departmental presentations
Maintain minute books and other statutory documents in accordance with the legislative requirements and best governance practices
Manage team performance and assist with the compilation of the departmental training development plan
JOB REQUIREMENTS
CIS or appropriate Bachelor’s degree
5 years general administration experience
2-3 years secretariat experience (Board and Board Subcommittee level)
Proven customer service orientation
Advanced MS Office suite
Willingness to work irregular hours as and when required

Practical knowledge and understanding of the requirements of PFMA, Water Services Act, Companies Act and any other applicable legislation
