Main Purpose:
To perform personal assistant duties for the Directors, as well as provide general administrative support to the Division.

Personal Assistant Duties Diary and timesheet management the Directors Assist the Directors with all PPP Targets and Partner responsibilities Perform ad hoc requests and general administrative support to the Directors Schedule and coordinate client meetings including organising venues and catering, drafting meeting agendas, taking and issuing minutes and maintaining attendance registers Handle/screen calls and take accurate messages Draft correspondence Manage debtors and WIP General Administrative Support Provide support to the project teams with project administration and general queries Schedule and co-ordinate internal meetings Schedule and coordinate quarterly social events for Division including arranging venues and catering Assist with document formatting, including management reports, presentations, client reports and proposals Ensure that strongroom archiving is up to date Ensure that filing is up to date Assist project teams with managing electronic (MAP) files Producing invoices Assist with creating client and engagement codes in Maconomy Coordinate submission of tenders and proposals Support to Knowledge Management / Business Development Officer Assist with bid office duties / business development Coordinate submission of tenders and proposals Assist with administration related to risk management (independent checks etc) Assist with knowledge management (databases such as Retain, Match and Sales Funnel)

Qualification Level: Grade 12
Experience Required: 1 – 2 years

Competencies / Skills:
Proficiency in MS Office Suite (in particular Word, Excel & Powerpoint) Excellent interpersonal skills (diplomatic, courteous & friendly) Communication skills – verbal and written Proficiency in English is mandatory, and proficiency in Xhosa would be an advantage Takes initiative Strong planning and organising skills
