An ICT lead company is looking for Admin Assistant to provide administrative assistant support by preparing statistical reports, handling information requests, and performing clerical functions (including preparing correspondence, receiving visitors, arranging conference calls, and scheduling meetings) in accordance with departmental / section requirements and SITA policies, processes and procedur
Minimum Requirements
Minimum: Grade 12 plus secretarial/office administration diploma plus certificate in MS Office Suite. Experience:
3 – 4 Years working experience within a secretarial of administrative support role to a senior manager or executive
in general office practices or procedures.
Job Specification
Key Responsibility Areas
Receive and record incoming and outgoing correspondence to ensure proper record keeping for the sub department.
Obtain and or prepare reports, and distribute reports. Prepare and distribute minutes, presentations as well as general office documentation / communication to ensure that information reached relevant identified parties.
Provide management and operational support as well as general office duties. Arrange work sessions and stakeholder (e.g. staff and client) meetings and coordinate all logistical arrangements.
Arrange accommodation and flight arrangements in accordance with SITA travelling policy and procedures.
Technical Competencies Description
Knowledge of:
SITA ACT; Public Finance Management Act; Protocol matters with regard to inter-organisation, government, parliament, and other-key stakeholders; Communication processes; Project Management. Expertise: Stakeholder Management; Risk Management; Coordination of Meetings, Work Sessions and Other Engagements; Planning and Organising; Minute taking; and Calendar Management.
