The National Liquor Authority unit within the dti has a vacant position for an Advanced Team Assistant which is now open for applications.
Duties
The successful candidate will be required to perform the following:
Project Team/Business unit Support: Professional office support provided to project manager/business units managers to facilitate management and implementation of projects/business plans
Management and maintenance of team manager’s appointments and meeting to enable effective time management
Stationary, other office accessories and equipment prepared and requisitioned on regular basis to ensure operational productivity and efficiency
Consolidate monthly report information for business unit / project team. (Telephone account summary and detail expenditure) (Petty cash Documents Management: Team managers written and dictated communication professionally transcribed and typed into a legible presentation
Incoming correspondence reviewed, annotated registered, classified and prioritised and distributed to managers to accord urgency and confidentiality
Replies to correspondence of routine nature, prepares and reviews of submissions to alleviate pressure on project/business unit manager’s workload
Outgoing mail registered and routed accordingly for record security and appropriate dispatch
Ensure that all documents are accurately recorded and filed
Photocopying, faxing, printing, e-mailing and scanning Internal and External Liaison: Electronic, written and verbal messages received and transmitted as necessary to facilitate communication with all internal and external clients
A reminder system for external and internal customers including project schedules operated to enable efficient process flow, timely and relevant response and action
Customer’s queries/problems and requests for services offered, attended to and referred to other officials as necessary to regulate and speed up the process of service delivery
Logistical Support/Meetings Management: Logistical support services provided to facilitate effective deliberations at meetings, conference workshops and seminars and media briefings
Facilitate keeping and maintenance of records and minutes of meetings to ensure follow up actions and easy access Electronic diary and internal and external liaison: Diary for superior managed and whereabouts monitored. No double bookings allowed or missed appointments Budget Contribution and Monitoring Budgetary requirements for the project managers/ business unit and travel prepared and submitted to enable inclusion in Directorate’s budget
Budget levels monitored to operate within limits
Give Advice to managers regarding level subsistence/ travel allowances
Monitoring and control of petty cash allocated to IPS office as set out in the regulations Keep record of all financial documentation
Distribute the telephone accounts on a monthly basis
Requirements
Matric with a Certificate in Office Management
1-2 years’ experience in an office administration environment
Computer literacy and Microsoft Office Package
Good comunication skills, written and verbal
