The Office Manager is responsible for ensuring the smooth operation of the Pretoria office and making sure that technical efforts and field activities are fully supported by coordinating program information and providing logistical support. Responsible for ensuring that all Pretoria office tasks are carried through to completion, and information disseminated to all project staff. Job responsibilities will include planning for office operations, office maintenance and security, communications and records, property inventory and control, shipping and customs. The Office Manager oversees junior operations staff, and ensures that they adhere to MSH policies and procedures when conducting all project activities.

 

Specific Responsibilities

Serve as liaison between the COMU Director and vendors – set up meetings, draft all correspondence required, and handle day to day relationship management with vendors;
Responsible for all capital assets procured by the all projects in South Africa. Update inventory lists of all office furniture procured, and advise insurance brokers;
Oversee boardroom bookings;
Manage the Pretoria office to ensure that all functions are carried out, and that reception,switchboard, filing, coordination, are maintained;
Ensure, in coordination with the COMU director, that projects receive proper logistical support for procurement, transportation, security, and communication;
Manage technicalresources available to maintain communication and security equipment functioning;
In coordination with Operations Support Team in the US, provide information to MSH for the effective maintenance of general Project records;
Provide basic project administrative orientation on procedures, resources, and key staff to new employees. Also inform all new staff and team members of updates or important changes relating to MSH organizational changes and perform other orientation related activities as needed;
Oversee functions of Receptionist and general assistants.
Conduct or support any special activities, and other duties as assigned.
Ensure that the reception is manned at all times, relieving the receptionist during lunch and other times s/he’s unable to man reception.
Assist in processing accounts data as periodically assigned to you by the Financial Manager.
All other tasks periodically assigned to you by the COMU Director
