1. ADMIN OFFICER: FMU-REF NO: 05341
Directorate: Facility Management Unit
SALARY : R183 438 per annum (plus benefits)
CENTRE : Mamelodi Hospital

REQUIREMENTS : An appropriate recognized Diploma/Degree or NQF L6 with more than 3 years
relevant experience or Grade 12 with more than 5 years experience in facility
management unit. Experience in electrical, mechanical and building facility
management systems. Knowledge of project management, presentation skills,
conflict management and report writing. Knowledge of supply chain
management, financial management and HR Management. Ability to network,
problem solving and decision making. Good communication skill both verbal and
writing. Must be computer literate, valid driver’s licence.

DUTIES : Manage services and processes that support the core business of the hospital.
Supervise and control Service Level Agreement of Private Companies.
Management of day to day maintenance budget. Maintenance planning,
maintenance of capital and minor projects within the institution. Ensure that all
works orders from the end-users are loaded on the Gauteng Department of
Infrastructure Development (GDID) e-maintenance system. Facility manager
must capture and updated electronic data on a daily basis. Ensure that all
defects are reported, monitored, completed and assigned to GDID – Chief
Artisan and Control Works Inspector. To render support and assistance with
hospital Equipment maintenance and stock control. Provide support to
occupational health and safety in the workplace. Ensure user friendly access to
facilities and improve standards of physical conditions of all buildings on the
premises. Perform project management and supervision and coordinating work
of contractors. Accreditation signage according to prescribed regulation and
ensures that the building meets the Health and Safety requirements. Ensure
compliance with the necessary statutory requirements. To render planning and
commissioning services within allocated budget, policies and procedures.
Facility manager will regularly participate in site meetings and inspections to
monitor quality work standards for compliance. Assist with implementation and
maintenance of the performance and development system for facility
management staff. Manage infrastructure for security building. Liaison with
internal and external stake holders.

2. ADMIN OFFICER: HEALTH INFORMATION SYSTEM-REF NO: 05325

SALARY : R183 438 per annum (plus benefits)
CENTRE : Mamelodi Hospital

REQUIREMENTS : A recognized three (3) years National Diploma/Degree in Information systems
with more than 3 years relevant experience or Grade 12 with more than 5 years
relevant experience in Data capturing and Office management. Computer
literate with extensive knowledge of MS- Excel, Microsoft Word and PowerPoint,
analytical and numeric skills. Good Communication, presentation, interpersonal
and co-ordination skills. A valid driver’s licence is compulsory. Extensive
knowledge of Medicom and HIS is advantageous.

DUTIES : Take overall responsibility for all data management processes (collection and
analysis) within the HIS Unit and submit to the accountable manager. Printing,
Filing of all printed and incoming reports and compiling of relevant monthly
reports. Managing ward statistics, comparing with system reports and give
feedback to unit manager on a daily basis. Attend to internal and external
patient’s information queries and give system support to all users. Monitor,
reporting, data quality performance and put in place on how to improve it. Make
data available to staff and management. Analyze, interpret and present data to
management for informal decision making. Building capacity of staff to collect,
analyse and use of data. Monitor hospital indicators to determine the
demographical trends and information management of any changes. Develop a
system for analyzing, evaluating and interpreting minimum data set and CEO
reports for hospital EXCO and Top management committee members. Writes
reports for management as and when required. Supervise and manage
subordinates within the HIS unit. Management of all staff performance and
assessment within the HIS unit. Perform any other duties delegated by the

3. ADMIN OFFICER: PATIENT RECORDS AND ARCHIVES REF NO: 05327
Directorate: Administration and Support Department

REQUIREMENTS : Appropriate 3 years National Diploma/Degree with more than 3 years relevant
experience or Grade 12 with more than 5 years experience in patient
Records/Registry and Archive management within the hospital environment.
Good writing skills, computer literate and driver’s licence. Ability to work
independently and in a team. Ability to communicate well with people at different
levels. Ability to handle tasks of multidisciplinary nature. Knowledge of labour
Relations process. Supervisory experience will be an advantage.

DUTIES : Supervise and monitor Patient Records and Archives staff, i.e. Record / Registry
and MVA Clerks, messengers, photocopy operators, etc. Provision of uniform
standards for management of patient records. Conduct inspection on medical
records at institution. Provision of standards and procedures to ensure that
information is transmitted with appropriate security measures and control
management of promotion of access to information. Ensure prudent
management and decongestion and preservation of Patient filing room. Ensure
proper transfer to both paper and e-records to an archives repository.
Management of registers. Ensure that all records are kept in safe in safe
custody. Management of archives. Ensure transfer of semi archival records
from offices. Ensure that all preserved records meet safety standards prescribed
by NARS Act. Ensure that photocopy machines are in working condition at all
times. Ensure that postal services are done according to National Archives and
Services Act 43/1996. Filing of documents daily. Distribution of weekly circular
list to all EXCO members. Ensure that application forms for Human Resource
Department are collected from Post Office when a need arises. Provide
guidance and advice to subordinates. Provide weekly, monthly and statistics
reports given to the manager. Ensure that the PMDS evaluations of all officials
reporting to the Admin officer are done on a quarterly basis. Ensure that
subordinates go on training (including in service training).

4. ADMIN OFFICER LOGISTICS AND SUPPORT-REF NO: 05328
Directorate: Administration and Support Department
SALARY : R183 438 per annum (plus benefits)

REQUIREMENTS : An appropriate recognized Diploma/Degree or NQF L6 with more than 3 years
relevant experience or Grade 12 with more than 5 years relevant experience.
Knowledge of PFMA, Treasury Regulations, procurement Procedures and OHS.
Good supervisory skills, good interpersonal skills’, organizing skills and Time
management and leadership skills, computer literacy. Good communication skill
both verbal and writing. Ability to lead, work in a team as well as alone, ability to
work under pressure and meet the deadline.

DUTIES : Supervise the daily activities of the logistics and support staff i.e. Security,
Laundry, Mortuary, Garden services etc. Compile a substitution roster in case of
sick/absent officials. Conduct random inspection of all areas allocated to
logistics and support to monitor the performance of staff. Monitoring adherence
to logistics and support procedures for officials randomly on a weekly basis.
Compile a weekly report for inspection. Check and confirm that all logistics and
support equipments is available and in good working condition. Ensure that the
required material is procured and timorously delivered. Ensue that the procured
stock and equipment is well managed and distributed. Complete and update the
inventory on a monthly basis. Ensure compliance to Occupational Health and
Safety policy and procedures and provide feedback thereof. Ensure that all
officials have job descriptions and they are contracted. Ensure that the PMDS
evaluation s of all officials reporting to the Admin Officer are done on a quarterly
basis. Compile a leave management plan in consultation with the logistics and
support staff. Conduct monthly meetings with the unit of officials. Provide
feedback regarding problem resolutions. Compile the operational and
procurement plan for the unit. Control and monitor logistics and support services
budget. Ensure that the budget is spend according to the operational and
procurement plan. Ensure that the requisition forms are completed and track the
progress of the procured material weekly. Monitor and manage the procurement
and maintenance of equipments and stock required for logistics and support and
filing.
