Job Title: Head of Facility
Job Location: Melrose, Johannesburg

The purpose of the position is to oversee the efficient operations of the Safe Hub which includes but is not limited to Management of Human Resource, Finance, Facility/Office and ICT. Supervise and oversee programme implementation according to set programme strategies, Ensuring accurate monitoring of all programme activities and completion of related evaluation activities. Leading analysis of annual programme review to inform strategy. Delivering on annual objectives set for the Safe Hub

The salary is market related and negotiable based on qualifications and experience.

Responsibilities:

Key Accountability Area – Strategic Management:

  • Ensure organisational vision, mission, culture and strategic direction is understood and supported within Safe-Hub team
  • Formulate annual Safe-Hub objectives in line with strategic organisational objectives
  • Maintain strategic focus throughout the year and prioritises resource allocation and tasks accordingly
  • Manage any major organisational changes on Safe-Hub level
  • Analyse annual results, provides strategic guidance to management team members and facilitates annual learning activities
  • Compile overall annual Safe-Hub proposal (Budget, HR, Programmes)

  Key Accountability Area – Operations Management: 

  • Ensure Safe-Hub team operates in line with policies and procedures
  • Ensure emergencies and incidents are dealt with promptly and competently
  • Ensure all cases of alleged / suspected child abuse are dealt with promptly in line with child protection policy
  • Ensure delivery and administration of all Safe-Hub programme activities is in line with annual work plan, set targets and best practise standard
  • Identify areas of improvement and proposes corrective actions to Managers
  • Ensure best possible participant experience
  • Ensure delivery of programme pilots as per agreement with Research and Development
  • Ensure accurate attendance data management
  • Ensure ongoing programme implementation monitoring and timely submission of reports
  • Provides input on effectiveness and efficiency of monitoring and evaluation activities and tools
  • Ensure effective spending according to set budget and allocates accordingly
  • Ensure Safe-Hub staff follow finance policies and procedures
  • Authorise selected petty cash purchases and has oversees the distribution of petty cash float
  • Manage agreements with service providers and ensures compliance

 Key Accountability Area – Human Resource Management:

  • Ensure Safe-Hub staff follow HR policies and procedures
  • Ensure culture and values integration at Safe-Hub
  • Ensure sound industrial relations at Safe-Hub
  • Ensure Managers act according to Safe-Hub managerial standards
  • Recruit, appoint and induct management staff in line with policy and procedure
  • Ensure appointment of new staff at Safe-Hub in line with programme scale up, organogram and budget
  • Ensure that employees on probation are assessed and deemed suitable prior to the end of the probation period
  • Ensure all employees at Safe-Hub have an up to date Personal Development Plan (PDP) and ensures that these are in line with organisational strategic objectives
  • Conduct regular Performance Development Discussions with the Safe-Hub management team; and ensures that it filters through across the board
  • Ensure performance and conduct standards are maintained and addressed in line with policy and procedure
  • Manage leave and absenteeism of management staff
  • Ensure confidential, accurate and up to date record keeping of personnel records
  • Monitor employee motivational levels and puts corrective actions in place should this be required
  • Ensure talent retention and succession planning for Safe-Hub employees
  • Manage any grievance on site and ensures resolution thereof
  • Put forward recommendations on bonus and salary increase based on employee performance, attendance and achievement of KPIs

Key Accountability Area – Marketing, Customer and Stakeholder Relationship Management (incl. Community Engagement):

  • Manage management staff in compliance with Safe-Hub participant experience and service policy
  • Ensure high customer satisfaction and ensures any participant complaints are being handled professionally and in line with policy
  • Continuously assesses local target market and competitive offerings; Identifies current and prospective opportunities and barriers
  • Network locally to improve the presence and reputation of Safe-Hub brand guided by the community engagement policy
  • Develop and submit quarterly Marketing plan and oversees implementation thereof
  • Manage strategic Safe-Hub Marketing events and any direct marketing activities
  • Ensure continuous marketing via social media page and approves content
  • Manage all Safe-Hub visit requests and allocates Human Resources as required
  • Keep oversight of Safe-Hub specific funding, technical and implementation partners, ensures relationships are in good standing and timely delivery of any reporting deliverables
  • Ensure Safe-Hub staff follow Marketing policies and procedures

 Key Accountability Area – Training and Development:

  • Identify management training needs and submits these to HR Manager as part of PADP process
  • Propose strategies and a Skills Development Plan to address the skills gaps of Safe-Hub staff
  • Ensure implementation of staff trainings as outlined by annual Safe-Hub training plan and facilitates where required
  • Ensure implementation of all staff trainings, reflection sessions and career counselling sessions
  • Bring out the best in Safe-Hub management by providing ongoing mentorship and coaching
  • Implement Annual Training
  • Provide feedback to training function and HR (depending if introductory training or ongoing) on effectiveness of management training materials
  • Ensure adherence and completion of development programmes and assessments for managers, coordinators, programme officers on the Learning Management System (LMS)
  • Commit to the professional development of self via Business Skills Series’/ Training offered to HOF’s by the organisation

Key Accountability Area – Facility / Office / Asset Management:

  • Ensure the facility meets official health, safety and security standards at all times
  • Ensure housekeeping standards throughout the site
  • Authorise the purchasing of new assets / equipment and oversees asset management process
  • Ensure monthly inventory process
  • Approve facility bookings
  • Ensure facility is maintained in line with operational and preventative maintenance plan
  • Supervise all IT systems, equipment and service provider related matters
  • Ensure all IT equipment is used in line with organisational policies and requests from IT department are performed on time

Key Accountability Area – General:

  • Manage required staff meetings
  • Compile with housekeeping standards
  • Compile with and administers responsibilities as per Health, Safety and Security policy when required (e.g. First Aid)
  • Deliver on ad hoc tasks assigned by line management

Requirements:

  • Grade 12
  • Sports Related Diploma and/ or Management Diploma
  • Computer literacy Microsoft Office
  • Minimum of five years’ management experience
  • Partnership management experience, experience managing teams in a professional environment
  • Experience in working in the non-profit sector is an advantage
  • Strong ability to deliver practical activities and documentation
  • Facilitation skills
  • Strong ability to deliver training content and assessment frameworks
  • Experience in e-learning
  • Understanding inclusive learning and development processes
  • Programme administration skills
  • Strong computer skills (Word, Excel and PPT)
  • Experience in e-learning
  • Language skills (English critical, other South African languages advantage)
  • Writing proficiency
