Job Title: MANAGER: SERVICE ADMINISTRATION AND PROCUREMENT

Job Summary:
RESPONSIBILITIES INCLUDE:
 Ensuring that the administration systems, controls, policies, procedures,
and workspaces are in compliance with current regulations or legislation
by:
 B-BBEE recording and reporting, overseeing procurement tenders.
 Developing and maintaining procurement policies and procedures.
 Processing weekly tender reports.
 Ensuring staff collects sufficient B-BBEE certificates and manage the
B-BBEE audit.
 Ensuring monthly measurement for B-BBEE scores are completed.
 Plan, administer, and control budgets for contracts, equipment, and
supplies. Prepare and manage operational and capital budgets by:
 Budgeting and controlling all stationery items.
 Renewing all expired tender contracts.
 Ensuring that yearly asset verification is completed for Corporate Head
Office assets.
 Managing Corporate cell phone contract accounts monthly.
 Directing and evaluating administrative department operations and staff
members to ensure the business operates in a smooth, efficient and
effective manner by:
 Establishing and enforcing department regulations, guidelines,
budgets, and timelines.
 Employing, training, coaching and leading support staff members.
 Setting goals and deadlines for the department.
 Developing, analysing, reviewing, and implementing administrative department systems and controls by:
 Ensuring Corporate Head Office assets are managed and reconciled to asset register.
 Ensuring that stationery and printing requests are processed and dispatched.
 Managing the printing and stationery processes.
 Ensuring proper stock control.
 Issuing tender and selecting new service provider when necessary.
 Monitor the facility to ensure that it remains safe, secure, and well-maintained by:
 Managing the Head Office canteen services.
 Ensuring the cleaning standards are upheld within the building through the management of the outsourced service provider.
 Managing the outsourced security service. Prepare and review operational reports and schedules to ensure accuracy and efficiency.
 Prepare operational progress or status reports by:
 Preparing Executive Committee reports on a monthly basis.
 Developing, implementing, communicating and maintaining governance, risk and compliance policies, processes and procedures.
 Managing all correspondence in and out of the Company.
 Analyse internal processes and recommend and implement procedural or policy changes to improve operations, such as supply changes or the disposal of records. Recommend organisational process or policy changes.
 Creating, reviewing, and reporting department data and using this information to solve potential problems or strengthen performance.

Requirements:
QUALIFICATION REQUIRED FOR THE POSITION:
 Degree in Purchasing and/or Supply Chain Management. Or
 Business Management qualification

EXPERIENCE REQUIRED FOR THE POSITION:
 9 Years Procurement and Supply Chain experience with tender and selection processes.
 Knowledge of B-BEEE procurement and Supply Chain practices.
 Management of outsourced entities and staff
