GRADE : B3 (L)

POSITION TYPE : PERMANENT

SALARY : R 16 279.00 PER MONTH

A vacancy has arisen for the position of Residence Manager in Pretoria to ensure the efficient and effective management of the Pretoria High Commissioners Residence, Residence staff accommodation and grounds by working closely with the High Commissioner (HC), the High Commissioner’s spouse, PA, Corporate Services and the Residence staff.

These functions would include marketing the residence as a venue and ensuring all maintenance, functions and events at the Residence are carried out to the highest standard, while delivering a high level of service to guests.

 

Main purpose of job

Working closely with the High Commissioner’s office and Corporate Services:

Ø To manage effectively and imaginatively the

Ø Residence, staff accommodation, and grounds (including oversight of garden uplift).

Ø To run official events for the High Commissioner at the Residence.

Ø To promote the Residence as an attractive venue for appropriate British/South African events; to plan and agree the budget for such events with the organisers; to facilitate and oversee the events themselves.

 

Breakdown of main duties

Ø Draw up list of suppliers/caterers for in-house and external events. Ensure all who need to know are consulted about/aware of upcoming events. Make Residence (including kitchen for outside caterers) ready for all types of functions. Ensure accommodation for house guests is always ready and looks welcoming. Keep sensible store of basic supplies and keep wine cellar in good order. Help decide appropriate menus for all meals/receptions, overseeing preparation and serving of events. With others, draw up guest lists, invite guests, and track the invitations. Prepare table plans for discussion with host, print place cards and menus.

Ø Within the scope of the FCO guidance on use of residences, profile the Residence as a desirable venue for events, particularly with NGOs and business, which would include drawing up a list of potential contacts with the help of the CG’s office and the British Chamber representative, the British Council, once the list is agreed, making and building on these contacts, and acting on any proposals which arise from these.

Ø Manage and give guidance to such staff as are posted to the Residence.

Ø Keep a daily updated diary of upcoming events at the Residence and coordinate with High Commissioner’s PA to ensure they are aware of these.

Ø Regularly update inventories of works of art, silver and valuables, crockery, linen and office equipment. Ensure annual inventory is submitted on time.

Ø Be responsible for house guests, tracking arrival times and ensuring they are greeted, ensure transit flat being kept clean, and ready for use.

Ø Update guidance for the house in general, for guests

NOTE:

Ø All applicants must be legally able to work in South Africa with the correct visa/status/work permit, and be registered with SARS. Any staff recruited locally by the BHC in South Africa are subjected to Terms and Conditions of Service according to Local South African employment Law. Spouses/registered partners of UK Based Staff holding DIRCO issued ID cards are able to work within the BHC/BCG but their salary will be abated at the appropriate South African tax rates.
