About the job:

The CSIR Licensing and Ventures office has a vacancy for an Office Administrator. The incumbent will provide office administration and intellectual property (IP) administration support for the CSIR Licensing & Ventures portfolio. This position is based in Pretoria.

Key responsibilities:

Arrange meetings as required including document preparation before and after such meetings; take minutes; arrange refreshments when required; and ensure that appropriate reminders are sent for follow-up actions.
Act as central point of contact for CSIR patent administration to facilitate consistent practices across the organisation.
Act as domain specialist for the IP information management system – KSS TechTracS (including routine maintenance, development, quality control and centralised data capture of key patent information).
Provide training on KSS TechTracS to CSIR staff in their use of the information management system and help-line assistance.
Coordinate submission of IP forms to NIPMO.
Maintain Licensing & Ventures data management and filing.
Make follow-ups and initiate next steps according to project activity records.
Perform other office-related duties in support of the professional staff, within the normal scope of a professional personal assistant’s responsibilities (such as making travel arrangements; handling and routing of enquiries; distributing relevant documents for signature/action/information; processing invoices and claims; managing petty cash; ordering supplies; taking responsibility for equipment and facility management, environment, health and safety aspects, etc.).
Implement the rollout and continuation of CSIR’s IP and technology transfer awareness and training programme.

Qualifications, skills and experience:

At least a national diploma in a relevant field.
At least four years’ office administration experience, preferably in a technology transfer office, venture capital firm, IP law firm or similar environment.
High proficiency in written and spoken English.
High level of computer literacy and Internet skills.
Professionalism, good people and communication skills.
Self-motivated and has initiative.
IP and/or technology transfer knowledge or experience is an advantage
Ability to prioritise tasks and manage time.
Ability to learn quickly and solve problems effectively.
