General Employee Data Maintenance and Capturing of Changes
  • Capture Employee Data into GHRS and other relevant systems
  • Maintain Employee Data in required format and according to relevant business rules
  • Process general employee changes
  • Manage Staff Expenses e.g. Corporate Club and Liaise with Payroll on staff expenses

 

Process Time & Leave forms for employees without access to e-HR or according to local processes
  • Time and Leave Administration (Study, Maternity, Statutory, Special Leave)
  • Respond to escalated leave queries
  • Draw reports and check for discrepancies across leave balances/ timesheets captured for employees
  • Follow up with employees on leave and time discrepancies
  • Monitor leave balances and escalate potential issue to Country HR Lead for action
  • Draw up leave agreements (e.g. maternity leave agreement)

 

Draw up relocation agreements/letters
  • File /Archive Agreements

 

New Employee Engagement
  • Open new employee folder
  • Collate and file engagement letters
  • Collate employee starter packs
  • Capture employee details on GHRS
  • Assist Country with employee on boarding logistics, benefit entry/ application forms
  • Follow up on IT, Facilities for the employee desk, parking, access card, PC, telephone etc where relevant
  • Book employee on orientation
  • Liaise with Country Recruiter on new employee data

 

Employee Transfers and Termination Administration
  • Receive termination/transfer notice from Country
  • Capture transfers and terminations
  • Ensure relevant benefit forms are sent to employee
  • Determine and advise on outstanding debts and employee commitments
  • Capture exit interview details and compile reports on trends
  • Insert information /relevant documentation on employee folder
  • Advise on recovery of personal inventory
  • Provide certificate of service according to Country requirements
  • Close employee folder (filing and archiving)

 

Relationships and Query Resolution
  • Build effective relationships with relevant staff in all countries, understand and respond to unique requirements of individual countries, and proactively manage processes according to Country/Sub Area and Area requirements
  • Respond promptly to employees/external stakeholder queries
  • Investigate discrepancies between various systems and internal databases
  • Take corrective action

 

Employee Record Folder Administration
  • Manage the employee folders (updating information, check in/check out)

 

Reporting
  • Produce Personnel Administration Reports
 
Grade 12 or equivalent school leaving certificate
Administration degree or relevant HR degree
Must be fluent (speak read and write) in English, French will be an added advantage
