Job Title: Procurement Administrator

Job Summary:
– Assist the Procurement Officer with procurement projects and provide ongoing monitoring as required.
– Track, update and monitor the procurement department information to ensure that it has important details, such as the suppliers’ qualifications, BBBEE rating, delivery times, potential development and products.
– Responsible for the purchase of products and services in the organization against agreed vendor contracts, including providing support for travel bookings.
– Support employees with procurement and supplier relationships helping to drive better procurement practice.
– Provide excellent client service and ensure that a professional manner is maintained with clients at all times.

ASSIST WITH QUALITY ASSURANCE AND COMPLIANCE:

– Ensures full compliance with Fund procurement policies.
– Tracks deviations from procurement policies and procedures and raises non-conformance.
– Upholds code of ethics, and gift policies.

SUPPORT VENDOR OR SUPPLIER MANAGEMENT:

– Assist with the review and analysis of all vendors/suppliers, supply, and price options.
– Ensure that the product and supplies are high quality.
– Maintain and update list of suppliers and their delivery times.
– Support the Procurement Officer in procurement activities such as the tender process, supplier relationships and contract management for goods and services.

PROCUREMENT REPORTING AND RESEARCH:

– Assist Procurement Officer in tracking and reporting on key functional metrics to promote visibility, track spend and improve effectiveness.
– Perform risk management for supply contracts and agreements.
– Identify, research and monitor business trends, product availability and potential new suppliers as and where requested.

TRAVEL COORDINATION:

– Have the ability to organise local and international travel arrangements including air, hotel and ground transportation.
– Research various destinations and means of travel regarding prices, customs, weather conditions, reviews etc.
– Diagnose the clients’ specifications and wishes and suggest suitable travel packages or services.
– Supply travellers with pertinent information and useful travel material (guides, maps, event programs etc.).
– Handle unforeseen problems and complaints and determine eligibility for money returns.
– Create and update electronic records of clients.
– Maintain relationships with key stakeholders.
– Research explore and study different travel destination options.
– Research and study clients’ specifications and wishes.
– Book tickets, reserve accommodation, organize rental transportation.
– Provide useful travel material such as guides, maps and event programs.
– Build and maintain relationships with all stakeholders.
– Report on spend against budget and travel activities.
– Report on monthly travel costs.

Requirements:
– National Diploma in Supply Chain, Logistics or related field.
– At least 2 years procurement experience.
– Knowledge of procurement systems and procedures.
– Strong numerical skills and a degree of commercial acumen commensurate with level of responsibility
– Proficient computer skills, including Microsoft Office Suite
– Project Management Skills
