Position Overview:

To provide administrative support, to the Director, Sustainability for EAG as well as additional Group principals including the Live Positively & Special Projects Director; Group K&I Director and Group Commercial Director

ensuring the smooth running of the office environment through the effective handling of Admin support thereby projecting a professional, leading edge image for to all stakeholders.

Successful arrangement and communication of logistics in support of the events/conferences , Maintaining electronic & Physical Notice Board and raising Purchase orders for the office.

Provide Back up to AP & Treasury As required.

 

KEY DUTIES/ RESPONSIBILITIES

Support office team in all day to day activities

Co-ordinating meeting schedules & Travel Arrangements

Preparing Power Point presentations

Internal and external stakeholder liaison —- Conducting surveys

Raise PO’s

Using SAP to respond to basic client issues

Back up for AP & AR SAP Processing

Receiving Incoming Cheques and arranging for Banking.

Manage office supplies & resolve equipment issues

 

ORGANIZATION IMPACT/ INFLUENCE

Extensive High Level Strategic / Operational Interaction with:
AssisstingAssociates, Clients, Travel Agencies and Hotels

Nature and Purpose of the Interaction:Co-ordination of meetings

EDUCATIONAL REQUIREMENTS
Matric ,Office administration diploma

 

ANALYSIS

Travel: changes in itineraries and obtaining visas at short notice

Meetings: last minute cancellations

Logistical Support: for the Africa SABU, function head meetings, off-site meetings – both local and international locations

Negotiation: negotiate preferential rates with hotel management

 

JUDGEMENT AND DECISION MAKING

Event Management: Negotiations with hotels for best accommodation, conference and banqueting rates. Recommendations for gifts for various conferences/meetings. Source a number of venue options for final decision with Manager
