Funda Wande is an influential not for profit program founded by the Allan Gray Orbis Foundation Endowment and donor partners. Working closely with government it aims to ensure that all children in South Africa can read for meaning in their home-language by the age of 10.

We develop video and print materials in all official SouthAfrican languages to train teachers how to teach reading for meaning in Grades R-3 in those languages. All of our materials are free to access and Creative Commons licensed. Due to the growth of the organisation Funda Wande has a new role for an Office Administrator based in Cape Town. It will initially be based in Gardens but the offices will be moving to Mowbray/Observatory area in the next few months.

 

Job Title: Office Administrator
Location: Cape Town

The purpose of the position is to be responsible for the effective day-to-day running of the Funda Wande Cape Town office and supporting the Travel and Logistics Coordinator with ad hoc travel and logistics requests.

Responsibilities: 

  • Office Management:
  • * Ensure that the Funda Wande office is running smoothly, are well maintained and looks professional at all times
  • * Oversee cleaning services and check that they maintain required standards of cleanliness
  • * Be the main point of contact for any office and building maintenance queries from landlord or staff
  • * Ensure the office complies with Health & Safety standards
  • * Act as designated First Aid officer (training to be provided)
  • * Organise and maintain order of FW materials in storage room
  • * Welcome FW visitors in a friendly and professional manner
  • * Arrange parking for visitors
  • * Manage boardroom and meeting room bookings
  • * Check that the boardroom and VC is set up for meetings, incl coffee, teas, water & refreshments
  • * Answer the FW main phone and transfer to relevant colleague, take messages if necessary
  • * Respond to e-mails sent to info@ e-mail address and forward to appropriate employee
  • Stock:
  • * Maintain inventory of and order monthly sundries for office
  • * Order stationary, printer supplies, books and maintain stock inventory
  • IT & Telecomms:
  • * First line support for technical queries re phones, video conferencing, printers
  • * Main point of contact for IT queries to outsourced IT support
  • * Order laptops and computer equipment for new staff
  • * Set up e-mail, Slack, Dropbox etc for new staff
  • * Hand over new IT equipment, ensures that IT equipment form is signed and filed
  • * Gives induction to new staff on IT processes
  • * Receives IT equipment when staff member leaves, checks that equipment in good condition, and form is signed
  • Travel & Conferencing:
  • * Support the Travel & Logistics Coordinator with Travel bookings when required
  • Logistics:
  • * Arrange courier requests from approved suppliers
  • Other:
  • * Monthly debit card statement recons
  • * Maintain & reconcile petty cash on weekly basis
  • * At least 3 years’ reception and/or office support experience
  • * Excellent written and verbal communication skills
  • * Proficient in MS Office, especially Outlook, Word and Excel
  • * Experience of using Dropbox and digital filing systems
  • * Matric or equivalent qualification
  • * Driver’s license an advantage

  • * Attention to detail and problem solving skills
  • * Strong organizational skills
  • * Friendly manner

Reqiurements:

  • * At least 3 years’ reception and/or office support experience
  • * Excellent written and verbal communication skills in English and one other office South African language essential
  • * Experience of using Dropbox and digital filing systems
  • * Matric or equivalent qualification
  • * Driver’s license an advantage
