Job Title: Project Administrator

Job Summary:
Provide full assistant functions to PL, PM and PE
Responsible for general project admin, financial admin and administration of quality management system.
To provide administrative support to the PL, PM and PE of the delivery unit
To provide administrative support to project planning and supported documents etc.

The successful candidate will be responsible for/should possess the following:

DOCUMENTATION:
Establishing and managing the project filing system
Agreeing / finalising the document management processes
Managing the distribution and control of project documentation
Managing the delivery and acceptance of project documentation/deliverables
Archiving project documentation

QUALITY:
Establishing and managing the project filing system
Acting as a point of reference on the use of the project QMS

PLANNING:
Preparation and updating of Sciforma plans
Checking planned vs actual utilisation of resources

PROCUREMENT:
Accessing procurement templates
Executing / processing sub-consultants administration
Arranging project travel

FINANCIAL:
Arranging for the production and distribution of project financial information
Executing / processing reimbursing expenses
Executing / processing invoicing the client

CHANGE:
Acting as a central point for the project for the management of change.
Establishing and maintaining the project Change Register
Tracking the implementation of Change Confirmations

ISSUES:
Establishing and maintaining a project Issues Register
Managing the status of issues raised

RISK:
Establishing and maintaining the project Risk Register

MEETINGS:
Organising project meetings
Preparing and distributing meetings minutes/notes

STAKEHOLDER:
Establishing and maintaining stakeholder communication plan
Monitoring the Communication Plan

TEAM:
Administration of job descriptions
Preparation of project plans
Organising project team meetings
Accessing Sciforma reports

Job Requirements:
Qualifications:
Proficient in MS Office Suite (Word, Excel, Outlook and Power Point)
Grade 12
National Diploma in Office / Business Administration – Management or Relevant Certificates

Experience:
5 – 8 Years’ experience in an administrative role
Knowledge of Consulting Management
Knowledge of ISO 9001
Sciforma or PM software experience
