Job Title: Bookkeeper
Start date: 03 September 2018
Report to: Finance Manager
This is a part time position, working 2.5 days a week.
Responsibilities:
- Record functions, data capture into Pastel and other reports (excel or word)
- Reconcile all bank accounts (main bank accounts, petty cash accounts, investment accounts, credit card accounts)
- Reconcile Debtors and Suppliers
- Payment preparation, check voucher to ensure donor, budget code, invoice and amounts are all correct proof that funds available attached (staff budgets, budget tracking by manager)
- Load payments, loading of beneficiaries and generating proofs of payment on business online
- Staff support on budgets
- Timesheet system, administer and ensure accuracy
Support the Finance Manager on:
- VAT returns for the gold Group
- EMP201 and EMP501 returns for the gold Group
- Financial Cash Flow
- Procurement function, creditors management of accounts
- Update fixed asset registers
- Sub grant function, administration of contracts, payments of grants to programme partners, financial reporting by sub-grantees
HR
- VIP: Loading new staff, check bank account info correct and neat, removing old staff
- Manage leave: resignations, maternity, annual, sick leave etc.
- Support to HR manager in preparing contracts and other HR administration requirements
General
- Manage the filing, storage and security of documents
- Maintain hard copy and electronic filing systems
- Courier packages and sign for packages received
- Perform general clerical duties to include but not limited to: photocopying, faxing, binding, mailing and filing
Requirements:
- Computer skills, Microsoft Office (Word and Excel)
- Organisational, administrative and communication skills
- Fluent in English and / or an African language
- Ability to be flexible
- Report writing skills
- Ability to train as well as to support through coaching
- Organisational skills with an eye for detail
- Basic research, documentation and assessment skills
- Value based approach (in agreement with the beliefs and values of gold) with a heart for young people
- Committed to community transformation
- A valid drivers’ license would be an advantage
- Knowledge of gold
- Ability to translate vision into workable, structure pieces of work
