Job Title: Human Resource Officer
Job Location: Milpark Office, Johannesburg
The purpose of this position is to provide HR generalist support to all IY staff and management and to work closely with the HR Manager in support of IY’s human resource function.
Responsibilities:
Recruitment and Selection
- Attend to and coordinate recruitment activities
- Prepare and/or updating job descriptions
- Advertise vacancies
- Screen applicants, which includes arranging of assessments
- Provide recruiting line manager with shortlisting matrix together with supporting CV’s
- Provide HR admin with details to arrange interviews
Administration and Managing the Employee Life Cycle
- Manage, draft and maintain HR related documentation pertaining to the life-cycle of an employee, including but not limited to, employment letters, increase and promotion letters, disciplinary communications, transfer letters, confirmation of employment, maternity agreements and leave agreements
- Process all terminations, which includes abscission, termination of employment, resignations and retrenchment)
- Communicate terminations to all of IY
- Provide HR Manager with terminations input for payroll
- Keep track of fixed term contracts (includes internships), using a tracking spreadsheet
- Communicate with line managers on the status of fixed term contracts update accordingly
- Communicate fixed term movements to HR Manager for payroll purposes
- Keep track of employees on probation
- Send out monthly reminders to line managers to ensure probation discussions are being held
- Escalate all late submission of probation reviews to HR Manager
- Prepare quarterly annual leave recons for each department, region and branch
Induction
- Work together with the HR Manager to plan, arrange and manage the delivery of the induction programme
- Send out induction communication to new employees and their line managers
- Ensure that induction packs are created
- Provide tech department with a copies of signed equipment acceptance forms
- Attend to all queries related to on-boarding
HR Consulting
- Provide guidance to all staff in relation to HR policies and procedures
- Support the management of disciplinary and grievance processes
- Review employment and working conditions to ensure legal compliance, as and when required
- Assist with preparation for disciplinary matters, performance matters, compliance reports, audits, etc.
- Assist with all statutory and compliance and reporting (Employment Equity Committee, EEA2 and EEA4 submission, COIDA and SDA Levy)
- Assist in performance management processes
Staff Wellness
- Work together with HR Manager to design and maintain staff wellness programme
- Assist with arranging and coordinating wellness events and training
- Plan and implement team building session for staff
- Create and manage database of physco-social support service providers
Training and Development Support
- Assist in identifying training gaps
- Assist in developing learning plans that is in support of IY’s needs
- Analyse training and development trends and makes recommendations
- Assist with the training arrangements, which includes booking of facilitators, booking of venues, catering and communication dates
Requirements:
- Diploma and/or Degree in Human Resource Management or related field
- Minimum of three to four years HR generalist experience
- Experience in the NGO sector would be advantageous
- Experience in working on ESS and VIP would be advantageous
- Solid understanding of SA Labour Law and Codes of Good Practise
