Job Title: Programme Manager
Location: Cape Town, Western Cape, South Africa

Job Summary:
The position of Programme Manager is responsible for coordinating and managing one or more allocated programmes offered via distance and/or contact education in a specific academic department.

This position is currently for the department of Financial Planning in the School of Financial Planning and Insurance. The Programme Manager would be responsible for the various financial planning qualifications and its associated deliverables. The person could be required to assist with short-term insurance programs at some stage if operationally required.

Responsibilities:

Student admission and registration:

•Admit students onto a qualification/programme in line with the specific admission and selection criteria
•Administer RPL policy for a specific qualification
•Process de-registrations/expiry/extension of qualifications
•Process internal subject exemptions (where applicable)
•Approve all student registrations in line with at risk policy and rules of progression
•Consider and action standard subject exemption applications

Recruitment, performance management and people development:

•Assist with the recruitment of facilitators and online lecturers for assigned areas based on pre-approved list from module owners when needed
•Assist with induction and development of new facilitators and online lecturers
•Assist with organising logistics for all training sessions and workshops conducted by the School as needed

Customer service:

•Deal with student/client/facilitator queries and take full responsibility for resolving the queries
•Ensure that student complaints/concerns are channelled to the correct department and solved to the student’s satisfaction
•Deal with special academic requests and channel to the Academic Committee (AC) where relevant
•Review student and contractor evaluation forms and action items
•Conduct programme specific student surveys and focus groups, in coordination with the Tuition committee; evaluate and action items/manage action of items
(including requesting student support)
•Assist with administration of MS Teams sessions
•Assist with training Internal staff members from relevant departments on all qualifications
•Participate in graduations (as required)
•Build good relationships and liaise with internal departments, part-time academics and corporate clients of Milpark

Programme management:

•Monitor and try to influence throughput rates on qualification, i.e. by coming up with motivational activities for students
•Manage preparation of audits and accreditation requirements
•Manage “at risk” students in line with Milpark’s At Risk Policy (including counselling meetings, exclusion appeals, etc.)
•Conduct subject planning for students and consult with students on qualification choice
•Manage and maintain the general framework of myMilpark for allocated qualification(s). Provide general student support on myMilpark.
•Manage general student communication on the qualification.
•Arrange and manage student induction sessions
•Set timetables for respective programmes and/or learnerships.
•Set and manage timelines of academic deliverables on programmes as and when needed.
•Check and update all qualification documentation, including fact sheets.
•Assist the academic team in meeting deliverables
•Coordinate online classes; online facilitation and related activities where applicable
•Verification and management of the work logbooks and its’ process where applicable
•Manage student surveys and feedback in line with guidance and instruction from Tuition Committee.
•Consider student feedback and action items as required.
•Serve on relevant academic committees (AC).
•Consider medical requests for deferrals and extensions where AC involvement is not required.
•Compile and submit academic/performance-related reports.
•Conduct articulation and perform graduation-related activities
•Check and sign off on completion letters as needed
•Assist in the planning and delivering of special projects as required by management

Programme oversight:

•Provide input to Programme Coordinator and Head of School on material review and curriculum development.
•Assist oversight owner with the qualification review process.
•Manage qualification definition
•Manage the configuration of the programme
Requirements
Education & Experience Requirements

•At least 4 years’ experience in an educational environment dealing with students and corporate partners
•An NQF 5 or business-related qualification
•Ideally some project management or coordination experience
•At least one year experience working with Moodle or a similar learning management system

•Working knowledge of Moodle or other Learner Management System and a sound grasp and experience of relevant Milpark internal policies; processes and
systems (if internal candidate).
