The Infrastructure Services: Western Region – Cape Town requires the services of an office administrator to do amongst other things, maintain an auditable record keeping system.

 

The prospective candidate should have the following requirements:

  • Matric and minimum of three years of relevant experience as an Office Administrator
  • Proficiency with MS Word, Excel, Electronic mail, Power Point and SAP R/3
  • Good communication skills
  • Good knowledge and experience of business financial principles
  • Good organisational and administrative skills
  • The candidate should be structured, well organised and willing to work extended hours should the need arise
  • Drivers license and ability to drive safely
  • Ability to read, write and speak English fluently
  • Ability to work in a team
  • Good telephone etiquette

 

 

The prospective applicant should meet the following criteria: 

  • Manage all incoming and outgoing mail
  • Filing system management (paper and on PC)
  • Handling reception queries and telephone calls including calls from internal and external customers and record keeping
  • Making travel and accommodation arrangements
  • Arrange functions and logistics for meetings and events
  • Control leave taken and processed
  • Prepared agenda and take minutes of meetings
  • Maintain the necessary office supplies (stationary, refreshments, first aid supplies)
  • Ensure the office equipment is operational
  • Prepare invoices/statements for payments and make the necessary follow-ups with the supplies to facilitate payment as scheduled
  • Reconcile vehicle accounts with trips and expenditure and arrange service/repairs
  • Process staff time sheets and overtime claims
  • Maintain an auditable record keeping system
  • Draw standard reports of finance and administration systems and follow-up deviations
