Paedspal is a registered Not for Profit organisation based in Rondebosch. Paedspal provides care and support for children living with life threatening and life limiting illnesses. Paediatric Palliative Care (PPC) is a rapidly developing new approach to care, organised in some places as a specialty, to improve the care and quality of life of children with life limiting conditions.
Job Title: Temporary Office Administrator
Job Location: Cape Town
Duration: This is a for five weeks on a full-time basis starting 13 May 2019 until 17 June 2019
The purpose of the position is to assist with general administration across the organisation.
Responsibilities:
- Front office management: Keep reception area organised, neat and tidy
- Schedule patient’s appointments in diary
- Provide a friendly welcome to all visitors
- Prepare refreshments as needed
- Answer all incoming calls and take messages where necessary
- Communication: Manage Paedspal’s mobile phone, ensuring all patient messages are responded to
- Team Support: Provide admin support to all team members as needed
- Help prepare spaces for workshops, support groups, etc
- Clinic support: Ensure all patients folders are available
- Coordinate all clinic appointments
- Welcome patients on arrival.
- Transport coordination: Arrange together with the driver all patient pickups and drop offs
- Patient Administration: Ensure all patients completes all necessary forms
- Ensure private patients are billed appropriately
- Retrieve and file patient files accurately and promptly as instructed
- Attend Doctors Friday meetings and capturing data in the diary and database where needed
- Financial Administration: Assist with recon of the petty cash system
- Assist with recon of patient transport fund
- Patient data management: Data capture of all patient information on the database; filing of patient folders, assisting with issuing of patient transport funds
- General Facility management: Manage kitchen by ensuring that an optimal level of groceries and cleaning products are kept at all times
- Assist to maintain and keep the office in optimal condition
- Donations Management: Receive and record donations
- Capture donor’s details for thank you certificate or letter
- Optional Duty based on minimum requirements met: Supporting with patient translations during consultation with doctors
Requirements:
- Minimum educational qualification: Grade 12 with English and Mathematics as subjects
- Must have communication skills in English (written and verbal)
- Minimum of five years administration experience
- Computer skills, including (Word and Excel)
- Must show strong attention to detail and be able to multi task
- Dynamic, forward thinking, confident, flexible
- Clear criminal record
- IsiXhosa language and Medical Receptionist experience will be advantageous
- Must have a passion for admin and keeping things organised and be able to cope with the emotional burden of our patients’ circumstances
