PERSONAL ASSISTANT II REF NO: NDOH 7/2015
SALARY : R183 438 per annum (plus competitive benefits).
CENTRE : Chief Directorate: Environmental Health. Directorate: Port Health. Pretoria.
REQUIREMENTS : A three year Degree/National diploma or equivalent NQF 6 Certificate in a
Secretarial or Administrative related field, A minimum of three (3) years
experience in rendering a support service to senior management as well as
experience in general office administration, Good telephone etiquette and the
ability to act with tact and discretion *Knowledge of the relevant legislation/
policies/prescripts and procedures and office and document management
practices, Basic knowledge of financial management, Proactive and ability to
work independently as well as part of a team *High level of reliability, Good computer (advanced application of MS Office applications), planning,
organisational, communication (written and verbal), interpersonal and problem
solving skills. A valid driver’s licence.
DUTIES : Manage the Chief Director’s diary, Welcome visitors in the Chief Director’s office,
Manual and electronic recording of incoming and outgoing correspondence,
Screen incoming and outgoing calls and take messages, Perform advanced
typing duties, Draft and type relevant documents as requested, Data
management and filing, Ensure safekeeping of information and documents,
Arrange meetings with internal and external stakeholders, Arrange refreshments
for meetings, Take minutes at meetings when required, Make logistical
arrangements for the Chief Director, including travel, accommodation and visa
arrangements, Procurement for the Office of the Chief Director as well as for the
unit, Complete and process subsistence claims and leave forms, Make
photocopies and fax documents for the Chief Director, Operate and ensure that
office equipment, e.g. fax machine and photocopiers are in good working order .
