SBV seeks a Portfolio Manager, the Project Portfolio Manager is responsible for managing the governance processes within the Project Management Office. Additionally, the Project Portfolio Manager is responsible for maintaining the PMO Playbook and updating the Risk Register for the Project Management Office. Job Summary:
Manage and oversee the governance surrounding the PMO Playbook
•Responsible for creating and compiling the PMO Playbook and submit to the Head of PMO for approval and implementation.
•Responsible for compiling, reviewing and submitting bi – annual cross functional reviews to Stratco.
•Responsible for updating and maintaining any published PMO processes and procedures where necessary and based on project learnings.
•Manage the publication of the PMO playbook by standardising processes and templates.
•Arrange and coordinate the necessary workshops to provide training and orientation to the entire PMO on the PMO Playbook and the implementation thereof.
•Accountable for monitoring all governance processes within the PMO and make the necessary changes to processes based on project learnings.

Manage PMO finances at Portfolio level:
•Act as the primary interface between the Finance Department and PMO.
•Responsible for managing any PMO funding requests and obtaining the accompanying approvals from the Head of PMO.
•Responsible for portfolio aggregation of project financials and monitoring thereof.
•Responsible for monitoring the PMO budget as well as making the relevant reconciliations for the PMO.
•Manage the PMO budget overrun and escalation at portfolio level for the PMO.
•Escalate any financial errors with immediate action to the Head of PMO.

Maintain and build The Academy and PMO interface:
•Act as the single point of contact between PMO and The Academy for all queries, trainings and service offerings
•Manage the PMO budget that relates directly to The Academy, this includes but is not limited to:
•Obtain and manage the invoicing and quoting process on behalf of the PMO.
•Conduct regular spend reconciliations related to The Academy to monitor the PMO expenditure therein
•Conduct and review integrated planning for The Academy for the PMO.
•Create, maintain and monitor a training registry.

Manage the Portfolio Risk Register for PPB:
•Create, manage and monitor the Portfolio Risk Register for PPB.
•Submit the Portfolio Risk Register to PPB on a monthly basis for oversight on risks and learnings gained from projects.
•Any material risk that is identified is to be escalated to the Head of PMO with immediate action.
•Collaborate with the Risk Department to provide feedback on the Portfolio Risk Register to highlight potential risk and
•learnings from projects.

Facilitate Project Audits with the audit team:
•Coordinate any audits with the audit team on a bi-annual basis.
•Responsible for providing the audit team with access to the required artefacts.
•Act as the interface between the PMO and Audit Team.

Drive the organisation culture within one’s centre:
•Drive the department’s values while inspiring confidence and generating excitement, enthusiasm and commitment towards the mission.
•Serve as a leader of the culture program driving the desired behaviours and encouraging employee engagement
•Create and implement strategies in collaboration with Change Management & HR to evaluate and maintain employee satisfaction
•Drive Transformation and BBB-EE initiatives to ensure sustainable alignment to the company scorecard

Lead as an Ambassador and executor of Change:
•Act as a change management architect in periods of change to ensure continuity to operations
•Manage the integration of CIT and Processing into a seamless end to end solution for customers
•Effectively communicate and embed new processes and procedures as they occur addressing or escalating matters /concerns to the SME’s (subject matter experts) when required
•Facilitate the necessary presentations, workshops, or forums in order to ensure consistent and accurate communication is given across one’s centre/s

Requirements:
Work Experience:
•5 years’ experience of portfolio administration of which 3 year managing a project portfolio
•Working knowledge of MS Office and MS Project
•Working on projects whilst applying a formal project management methodology – preferably PMBOK
•Experience in tracking and reporting on project budgets on a portfolio level
•Experience in set-up and updating of project plans and project progress reports
•Experience in project administration –workshops, project deliverables at a portfolio level

Education:
•Completed Project Administration & Management (PMI or accredited Institution) course
•Matric Certificate
•Relevant degree/ diploma
