To operate the Branch Service Business effectively and to provide prompt, efficient, courteous and cost effective attention to the servicing needs of customers.
Key Responsibilities:
Staff Supervision
· Establishing staffing needs and assisting with necessary terminations or recruitment activities
· Staff induction, training and counseling
· Administration of the apprentice training programme
· Chairing staff meetings for purposes of briefings and consultations
· Promoting a working environment that is conducive to motivation through sound human relations whilst continuing to emphasize the need for optimum productivity
· Appraising performance according to laid down procedures
· Disciplining where necessary
· Maintaining an updated list of personnel for call-outs
Customer Liaison
· Prompt, efficient and courteous attention to customer needs
· Programmed visits to appointed dealers and to customers
· Ensuring that a professional image is maintained (e.g. staff personal grooming and dress, manner, and vehicle presentability) in all dealings with customers
Technical Support
· Maintaining up to date literature on service matters e.g. service procedures and parts topics
· Dispensing literature and information to appropriate sources as and when needed
· Ensuring workshop and service personnel at all times have fully updated workshop manuals
· Maintaining full conversance with the Company’s products and service procedures, and assisting in-house personnel and users with technical advice as required
Documentation and Reports
· Accurate and timeous opening and closing of jobs
· Accurate and timeous preparations of quotations for service and workshop work
· Accurate and timeous checking of invoices prior to delivery to customers
· Accurate and timeous submission of such reports as are required by the Branch Manager and other sources e.g. monthly problem reports
Loss Control
· Administering a tool control system to ensure adequacy of tooling available, security and care of tools, and that tools are in a safe and working condition at all times
· Ensuring good housekeeping e.g. cleanliness and tidiness (places for things, and things neatly arranged in their places)
· Proper servicing and maintenance of vehicles, which must at all times be kept roadworthy, and checking of vehicle log books to ensure against improper usages
· Adherence to safety regulations, with particular emphasis on alertness and immediate response to unsafe conditions
Administration and Budgets
· Ensures timeous (i.e. within one week of failure) and correct submission of warranty claims to Head Office
· Provides input to Branch Manager for capital budget requirements
· Measure performance against Workshop and Service budget e.g. parts sales and profits, labour recovery, KPI, NPS , service fixed overheads as laid down by Branch Manager
· Manage Overtime
Processes and Procedures to be driven
Required Skills & Experience:
· Previous experience as a Cummins Diesel Mechanic.
· At least 2 years previous experience running a service department.
· Extensive Cummins Product knowledge.
Qualifications
· Full qualifications as a Diesel Mechanic i.e. have a trade test certificate.
