Job Title: Programme Manager for the Academics Interventions Unit (AIU)
Job Location: Western Cape
Salary: The monthly cost of employment, including benefits will be R 29 672

Responsibilities:

  • Provide efficient, effective management and leadership to programme
  • Ensure quality assurance of academic components, moderate learning materials, develop time schedules and targets for various tasks
  • Coordinate the formulation of AIU curriculum, practical’s, workbooks, worksheets and control tests
  • Manage class allocation for educators
  • Design and implement educator evaluation based on performance standards
  • Moderate teaching techniques
  • Devise recruitment and contract renewal processes to facilitate the intake of most suitable educators
  • Train, mentor and oversee the administrative staff of the Programme
  • Initiate a recruitment drive to facilitate the intake of learners, arrange entrance exams, analyse results, and shortlist accepted learners
  • Develop and implement systems to ensure the quality and standards of the Programme is not compromised
  • Analyse Programme evaluation surveys and compile reports to identify the developmental areas
  • Regular meetings with coordinators
  • Maintain cordial relationships with key personnel at the schools
  • Communicate with parents and learners through periodical newsletters and reports
  • Explore fundraising opportunities for AIU and work towards fulfilling the social enterprise and financial sustainability mandate of SHAWCO
  • Explore possibilities for expansion of the Programme to benefit more learners

Principal accountabilities

Programme Management

  • Maintain a documented system of policies and procedures for AIU
  • Uphold a documented system for administrative staff
  • Take responsibility for workforce planning and fair allocation of work in the area of responsibility
  • Ensure that work allocated is executed efficiently and effectively
  • Manage service level agreement with external service providers
  • Prepare documents and monthly reports as advised by the Operations Manager
  • Analyse academic results and collate progress reports termly
  • Coordinate logistics to implement the programme effectively on Saturdays
  • Programme implementation
  • Organise learner orientation, graduation, workshops and other activities of AIU
  • Draft annual reports for funders and Programme stakeholders
  • Manage accurate data bases, following up on absenteeism, bunking etc
  • Implement strict measures to ascertain code of conduct is being applied
  • Successfully profile and brand the work of SHAWCO AIU

Financial Management

  • Under the guidance of the Finance Manager, prepare budgets for approval, actuals to be compared against budget quarterly, and follow up payments with parents to clear outstanding fees
  • Ensure that sufficient funds are available to meet ongoing operational and capital investment requirements
  • Monitor petty cash and other financial transactions
  • Review and approve all Programme expenditure
  • Process educators’ salaries
  • Ensure that all funds received are receipted, accounted for and signed off in receipt book
  • Ensure that all expenditure incurred is signed-off and authorised according to delegated levels of authority

Requirements:

  • Bachelor’s degree in Education or related discipline and a teaching qualification
  • Seven years proven management and leadership experience
  • Operational and educational experience, preferably in an academic environment
  • Communication skills
  • Proven presentation skills
  • Knowledge of the NGO sector, advantages
  • Customer service skills
  • Ability to communicate at all levels
  • Computer Skills, Microsoft Office (Word, Excel, PowerPoint and data base management)
  • Report writing ability
  • Strong time management skills
  • Valid SA driver’s license
  • Fluent in English and Afrikaans (speak, read and write)
  • Willing to travel as needed to schools to recruit learners and liaise with school management, and other stakeholders
  • Must be willing to work on Saturdays for the duration of the programmes
