Job Title: Holiday & Saturday Co-Ordinator
Location: Western Cape

The purpose of this position is to ensure the smooth operation of the Holiday and Saturday School Programme in the Western Cape, including but not limited to; plan, direct, co-ordinate and administer all aspects of the programme. To maintain stakeholder relations including teachers, transporters, caterers and beneficiary caregivers, to develop and maintain relationships with current and potential donors.

Responsibilities:

  • Update student lists
  • Coordinate suppliers for Saturday school
  • Manage applications of children to join the programme
  • Update programme schedule electronically and manually
  • Consolidate numbers for each class
  • Plan and conduct all logistical arrangements when the programme is carried out, such as venue, catering, supplies
  • Controlling and coordinating of programme resources i.e. stationery and refreshments
  • Stock take and ensure that supplies are efficient for each session
  • Order supplies
  • Assist with material preparation when necessary, printing, copying, and binding
  • Dispatch material in good time
  • Assist with the preparation of Saturday and Holiday school
  • Compile statistics and reports to submit to management, stakeholders and donors
  • General office duties including filing, communication and liaison with stakeholders and support functions when necessary
  • Assist with any other task as required by the Programme Manager
  • Coordinate assessments
  • Prepare invoices for payment
  • Assist in managing department budget

Requirements:

  • Relevant post-secondary qualification preferred
  • Minimum of two years’ relevant experience
  • Ability to travel within South Africa
  • Driver’s License and own vehicle
  • Articulate and well spoken, bilingual or multilingual would be an advantage
  • Communication skills (English)
  • Written skills (English)
  • Professional telephone skills
  • Strong research skills
  • Computer competence in Word and Excel (PowerPoint is an advantage)
  • Strong administrative and organisation skills
  • Must be able to handle pressure and exhibit good time management skills, attention to detail
  • Must demonstrate an acute sense of urgency and commitment
  • Ability to think out of the box with a focus on problem resolution
  • Ability to work as part of a team, with a focus on the team performance as a whole
  • Show passion for education and the NGO environment
