The Communications Project Associate will report to the Senior Technical Advisor for Communications and work closely with BLC’s communications unit. The Communications Project Associate will support adherence to the project communications strategy. He/she will provide support to the team in planning, coordination of communications activities, training of project staff, and production of communications materials. He/She will also ensure that accurate and complete systems, records, and files are set up, maintained, and updated.’

 

Specific Responsibilities

Support production of the quarterly/annual report, including maintaining the report status tracker and updating acronym list and communications products lists

Print, bind, and distribute BLC work plans and quarterly/annual reports within two weeks of submission

Upload new communications products to Central Desktop and SHARE, print copies for the office and program files, put print files into ‘compendium’ folder, and update BLC communications lists for the quarterly report

Maintain communications space on Central Desktop, including reports, products, presentations, resources, etc.

Update and maintain availability and visibility of BLC products in the office—rotate new products in downstairs and upstairs display, as well as in relevant program files

Support communications team in planning and executing meetings and events, as well as logistics and travel

Support communications team to follow approved work plan

Maintain and follow up with relevant staff regarding the communications tracker

Support the ‘BLC in Action’ e-newsletter, including maintaining the contact list and a calendar for the year

Support updating the MSH-South Africa intranet and compiling the internal BLC newsletter

Supervise communications-related materials including the BLC cameras, banners, folders, etc. This includes safe storage, tracking them through the established system, and ensuring they are in working order (cameras fully charged, materials undamaged, etc) before they are checked out and after they are returned.

Order new equipment/supplies or those requiring repair as necessary and as directed by communications staff. This includes outsourced printing of communications products.
Support BLC staff to access project-wide communications products/equipment on request. This includes responding to general requests for materials and conference materials.
