Vheneka seeks to help women wanting to escape from prostitution by offering them a transitional shelter with psychosocial support and economic empowerment skills. Our programme is designed to offer individual attention to all our clients (survivors of prostitution), taking into consideration the varying levels of trauma and educational backgrounds. Job Title: Administrator
Job Location: Mowbray, Cape Town

The purpose of the Administrator is to be responsible for the organisation and coordination of office operations, procedures, and resources to facilitate organisational effectiveness and efficiency. The ideal candidate will be experienced in handling a wide range of administrative and executive support related tasks and will be able to work independently.

Responsibilities:

  • General office maintenance: plan logistics, perform upkeep and leasehold improvements, liaise with building management, manage office orders, maintain office filing system, and perform upkeep and schedule regular servicing of office equipment
  • Assist with preparation of materials and taking minutes for meetings
  • Coordinate and assist with contact database activities, including maintaining updated contact information for organisation
  • Create, implement and maintain filing, procedures and administrative systems
  • Contact person for all organisational supplies needed
  • Ensure proper documentation exists and complies with Vheneka’s procurement requirements before disbursements are made
  • Maintain Finance files to ensure that they are audit ready
  • Assist in monitoring and updating of information including asset registers
  • Cash reconciliation and receipting for sales, donations
  • Manage storage and safekeeping of office equipment

Requirements:

  • Grade 12
  • Diploma in office administration will be advantageous
  • Three or more years of work experience in an NGO in a related role
  • Computer Literacy: Microsoft
  • Minimum of three or more years’ experience as an Administrator in an NGO environment will be advantageous
  • Numerical skills
  • Time management skills
  • Ability to multi-task and prioritise work
  • Detail oriented
  • Ability to administer and execute financial processes and transactions
