Job Title: Office Administrator
Job Location: Cape Town
Purpose
- General financial administration: petty cash reconciliation, bank account reconciliation, invoicing, accounts, salaries and related activities
- General office administration
- Personal assistant to the operations manager
Responsibilities:
- Attend staff meetings and Work4You events as required
- General support to other staff as required
- Other reasonable tasks as requested by the operations manager from time to time
General administration
- Respond to queries
- Minute taking
- General report writing and assistance
- Member, staff and general filing maintenance
- Stationery, equipment ordering, maintenance, etc
- Assisting with computer queries
Financial administration
- Use Pastel to:
- Capture and recon all income and expenses
- Process invoices and capture stock
- Generate financial reports
- Pay salaries, expense reimbursements and deductions to SARS, generate salary slips, monitor pension fund, etc.
- Pay utility, rental, and supplier accounts
- Petty cash and bank account reconciliations
- Create invoices, respond to invoice queries, and outstanding debt follow-up
- Generate other financial reports
- Auditing input and query investigations
HR administration
- Manage leave records
- SARS Income tax summaries
- Arrange staff training as necessary
- General staff records management
Personal assistant for Operations Manager
- Manage operations manager calendar and email inbox
- Read e-mails, and compose responses as and when required
- Generate various documents as required
Requirements:
- South African citizen resident in Cape Town, preferably in the Southern Suburbs
- Excellent command of English (read, write, speak)
- Minimum education level: Matric
- 5+ years relevant experience
- Sound bookkeeping experience and general financial literacy
- Competent in Pastel bookkeeping package
- Competent in the MS Office suite (MS Word, MS Excel, and MS PowerPoint).
- A working knowledge of Gmail and Outlook
- Good with people
- Already possess own transport and valid driving license
Advantageous:
- Personal experience of working with people with disabilities
- 10+ years relevant experience
- Working knowledge of MS Access
- A second language (Afrikaans or Xhosa)

- The successful applicant must be able to assimilate into and work well with a small team of colleagues, as well as take direction from the operations manager

Working details:
- Hours: Monday to Thursday, 8 AM to 3 PM
- Location: Salt River
- Salary: R8,000.00 – R9,500.00
