Responsible for all administration and providing support to Benefits Manager, organising and managing various initiatives<\/span><\/div>\n

The candidate will be responsible for all Administration and providing Secretarial support to the Benefits Manager \u2013 national basis.<\/span><\/div>\n
\u00a0<\/span><\/div>\n
The candidate will provide the following administrative and secretarial support:<\/span><\/div>\n
\u00a0<\/span><\/div>\n
\u00b7\u00a0\u00a0\u00a0\u00a0\u00a0\u00a0\u00a0\u00a0 Prepare and\/or type reports, contracts, presentations and other correspondence, as requested,\u00a0 ensuring that all correspondence is dealt with in a professional manner;<\/span><\/div>\n
\u00b7\u00a0\u00a0\u00a0\u00a0\u00a0\u00a0\u00a0\u00a0 Arranging, facilitation and coordination internal events ie. National long service, national secretaries\u2019 day, health days, World Aids Day, Parenting network forums, etc.<\/span><\/div>\n
\u00b7\u00a0\u00a0\u00a0\u00a0\u00a0\u00a0\u00a0\u00a0 Liaise with BU HR in terms of statistics for secretaries\u2019 day; long service recipients \u2013 ensure budget\/cost containment<\/span><\/div>\n
\u00b7\u00a0\u00a0\u00a0\u00a0\u00a0\u00a0\u00a0\u00a0 Setting up Trustees\u2019 Meetings, liaising with Trustees directly, attending Provident fund administration meetings and monitoring of monthly report<\/span><\/div>\n
\u00b7\u00a0\u00a0\u00a0\u00a0\u00a0\u00a0\u00a0\u00a0 Answer when the Benefits Manager is not available and screen telephone calls in a professional manner and attend to queries timeously.\u00a0 Be able to direct queries, client calls, etc. to the correct individual.<\/span><\/div>\n
\u00b7\u00a0\u00a0\u00a0\u00a0\u00a0\u00a0\u00a0\u00a0 Book conference, training and other meetings rooms as required for both internal and external meetings;<\/span><\/div>\n
\u00b7\u00a0\u00a0\u00a0\u00a0\u00a0\u00a0\u00a0\u00a0 Arrange and confirm all catering & stationery requirements for meetings;<\/span><\/div>\n
\u00b7\u00a0\u00a0\u00a0\u00a0\u00a0\u00a0\u00a0\u00a0 Book & confirm all travel arrangements, ensuring that visa and all other travel requirements are met;<\/span><\/div>\n
\u00b7\u00a0\u00a0\u00a0\u00a0\u00a0\u00a0\u00a0\u00a0 Effectively manage day to day activities and expectations of external service providers<\/span><\/div>\n
\u00b7\u00a0\u00a0\u00a0\u00a0\u00a0\u00a0\u00a0\u00a0 Take messages and assist where able to<\/span><\/div>\n
\u00b7\u00a0\u00a0\u00a0\u00a0\u00a0\u00a0\u00a0\u00a0 Provide secretarial support in respect of typing, collating of spreadsheets, filing<\/span><\/div>\n
\u00b7\u00a0\u00a0\u00a0\u00a0\u00a0\u00a0\u00a0\u00a0 Daily routine matters to be monitored and managed iro various service providers<\/span><\/div>\n
\u00b7\u00a0\u00a0\u00a0\u00a0\u00a0\u00a0\u00a0\u00a0 Manage disability claimants and simultaneously liaise with payroll\/insurer and broker<\/span><\/div>\n
\u00b7\u00a0\u00a0\u00a0\u00a0\u00a0\u00a0\u00a0\u00a0 Source relevant information iro various indicatives and benefits<\/span><\/div>\n
\u00b7\u00a0\u00a0\u00a0\u00a0\u00a0\u00a0\u00a0\u00a0 Management of the Wellness Centre and providers \u2013 coordination of timetable<\/span><\/div>\n
\u00b7\u00a0\u00a0\u00a0\u00a0\u00a0\u00a0\u00a0\u00a0 Ensure CBS \u2013 Benefits Database continuously updated with relevant information ie. Fund fact sheets and relevant information<\/span><\/div>\n
\u00b7\u00a0\u00a0\u00a0\u00a0\u00a0\u00a0\u00a0\u00a0 Ensure Starter and Exit packs are up to date with relevant benefit information; providing instructions and guidance to People Services<\/span><\/div>\n
\u00b7\u00a0\u00a0\u00a0\u00a0\u00a0\u00a0\u00a0\u00a0 Overall management of Risk Benefits together with the broker; ensuring Risk policies are in line with daily operations<\/span><\/div>\n
\u00b7\u00a0\u00a0\u00a0\u00a0\u00a0\u00a0\u00a0\u00a0 Management of staff and partner year end benefit revision<\/span><\/div>\n
\u00b7\u00a0\u00a0\u00a0\u00a0\u00a0\u00a0\u00a0\u00a0 Management of new intake benefit presentations and medical aid year end revision<\/span><\/div>\n
\u00b7\u00a0\u00a0\u00a0\u00a0\u00a0\u00a0\u00a0\u00a0 Manage retirement planning together with BU HR<\/span><\/div>\n
\u00b7\u00a0\u00a0\u00a0\u00a0\u00a0\u00a0\u00a0\u00a0 Manage the day to day running of the homework centre, maintain monthly attendance register and arrange and facilitate the end of year Childrens\u2019 holiday club<\/span><\/div>\n
\u00b7\u00a0\u00a0\u00a0\u00a0\u00a0\u00a0\u00a0\u00a0 Payment of invoices \u2013 monthly ICAS & Ad hoc<\/span><\/div>\n<\/div>\n
\u00b7\u00a0\u00a0\u00a0\u00a0\u00a0\u00a0\u00a0\u00a0 Ability to be creative and bring new ideas to the role and function<\/span><\/div>\n
\u00b7\u00a0\u00a0\u00a0\u00a0\u00a0\u00a0\u00a0\u00a0 Right attitude<\/span><\/div>\n
\u00b7\u00a0\u00a0\u00a0\u00a0\u00a0\u00a0\u00a0\u00a0 Ability to monitor outstanding items and ensure closure.<\/span><\/div>\n

\u00b7\u00a0\u00a0\u00a0\u00a0\u00a0\u00a0\u00a0\u00a0 Be pro-active and able to use discretion and initiative<\/span><\/div>\n
\u00b7\u00a0\u00a0\u00a0\u00a0\u00a0\u00a0\u00a0\u00a0 Ability to interact with people, specifically beneficiaries of deceased and conduct investigations wrt distribution of death benefits.<\/span><\/div>\n
\u00b7\u00a0\u00a0\u00a0\u00a0\u00a0\u00a0\u00a0\u00a0 Ability to work under pressure and assist with crisis management.<\/span><\/div>\n
