REQUIREMENTS<\/b>\u00a0:
\nA 3 year Degree\/Diploma in Public Management\/Administration\/Social Science or an<\/div>\n
NQF level 6 qualification in the related field with 1-2 years\u2019 relevant experience of<\/div>\n
which 1 year must in a Secretarial and Administration environment and\/or a Grade 12<\/div>\n
certificate 3-5 years\u2019 relevant experience of which 3 years must be in a Secretarial<\/div>\n
and Administration environment \u2022 Sound interpersonal skill \u2022 Honesty and integrity \u2022<\/div>\n
Basic Computer Literacy and Numeracy \u2022 Good written and verbal communication<\/div>\n
skills \u2022 Analytic thinking \u2022 Planning and organizing skills \u2022 Problem solving \u2022 Verbal<\/div>\n
and written communication \u2022 Financial administration \u2022 Good Interpersonal Skills \u2022<\/div>\n

DUTIES<\/b>\u00a0:The successful candidates will be responsible for amongst others the following<\/div>\n
specific tasks:<\/div>\n
<\/div>\n
Provides a secretarial\/receptionist support service to the Provincial manager \u2022<\/div>\n
Receive telephone calls in an environment where, in addition to the calls for the<\/div>\n
senior manager, discretion is required to decide to whom the call should be<\/div>\n
forwarded to \u2022 Perform advanced typing work \u2022 Operate and ensure that office<\/div>\n
equipment, e.g. fax machines and photocopier are in good working order \u2022 Records<\/div>\n
the engagements of the senior manager \u2022 Utilizes discretion to decide whether to<\/div>\n
accept\/decline or refer to other employees requests for meetings, based on the<\/div>\n
assessed importance and urgency of the matter \u2022 Coordinates with and<\/div>\n
sensitizes\/advises the manager regarding engagements . Compile realistic<\/div>\n
schedules of appointments \u2022 Render administrative support services \u2022 Ensure the<\/div>\n
effective flow of information and documents to and from the office of the manager \u2022<\/div>\n
Ensure the safekeeping of all documentation in the office of the manager in line with<\/div>\n
relevant legislation and policies \u2022 Obtains inputs, collates and compiles all relevant<\/div>\n
reports as instructed by the manager: Scrutinises routine submissions\/reports and<\/div>\n
makes notes and\/or recommendations for the manager \u2022 Respond to enquiries<\/div>\n
received from internal and external stakeholders \u2022 Drafts documents as required \u2022<\/div>\n
Do filing of documents for the manager and the unit where required \u2022 Collect,<\/div>\n
analyse and collate information requested by the manager \u2022 Clarifies instructions<\/div>\n<\/div>\n<\/div>\n

and notes on behalf of the manager \u2022 Ensures that travel arrangements are well<\/div>\n
coordinated \u2022 Prioritise issues in the office of the manager \u2022 Manage the leave<\/div>\n
register and telephone accounts for the unit \u2022 Handles the procurement of standard<\/div>\n
items like stationary, refreshments etc for the activities of the manager and the unit \u2022<\/div>\n
Obtain the necessary signatures on documents like procurement advice and<\/div>\n
monthly salary reports \u2022 Provide support to the Provincial Manager regarding<\/div>\n
meetings \u2022 Scrutinise documents to determine actions\/information\/other documents<\/div>\n
required for meetings \u2022 Collect and compile all necessary documents for the<\/div>\n
manager to inform him\/her on the content \u2022 Record minutes\/decisions and<\/div>\n
communicates to relevant role players and follows up on progress \u2022 Prepare briefing<\/div>\n
notes for the manager as required \u2022 Coordinate logistical arrangements for meetings<\/div>\n
when required \u2022 Support the manager with the administration of the manager\u2019s<\/div>\n
budget \u2022 Collect and coordinate all the documents that relate to the manager\u2019s<\/div>\n
budget Assists the manager in determining funding requirements for purposes of<\/div>\n
MTEF Submissions \u2022 Keep record of expenditure commitments, monitors<\/div>\n
expenditure and alerts manager of possible over and under spending \u2022 Checks and<\/div>\n
correlates BAS reports to ensure that expenditure is allocated correctly. Identifies<\/div>\n
the need to move funds between items, consult with the manager and compiles<\/div>\n
draft memos for this purpose<\/div>\n
