\npaper and electronic correspondence including faxes \u2022 Ensuring that written
\nauthority from the National Archivist is requested before the disposal of files \u2022
\nControl, maintain and apply the filing system, the master list of archives, registry
\nprocedures and practice \u2022 Ensure that the correspondence is conducted on
\ncorrect files and mail is posted, protect files against person, fire, heat water and
\ninsects \u2022 Maintain registers of files opened, files closed, circulars, remittances,
\nregistered mail, certified mail and letter deliveries \u2022 Assist with the receipt,
\nopening, sorting, distribution and dispatch of mail, open and label files \u2022 Provide
\nprompt service to staff and timely dispatch of correspondence, provide reference
\nand search assistance to staff with regard to requests, requiring a knowledge of
\ncoding and cross referencing both on paper and electronic \u2022 Post of documents
\nto different sections in Head Offices as well out of Department to the Provinces \u2022
\nResponsible for the safe-keeping of files \u2022 Opening of files and archiving \u2022
\nDrawing of files requested for the counter (list) \u2022 Filing of files when returning to
