\nDirectorate: Facility Management Unit
\nSALARY : R183 438 per annum (plus benefits)
\nCENTRE : Mamelodi Hospital<\/p>\n

REQUIREMENTS : An appropriate recognized Diploma\/Degree or NQF L6 with more than 3 years
\nrelevant experience or Grade 12 with more than 5 years experience in facility
\nmanagement unit. Experience in electrical, mechanical and building facility
\nmanagement systems. Knowledge of project management, presentation skills,
\nconflict management and report writing. Knowledge of supply chain
\nmanagement, financial management and HR Management. Ability to network,
\nproblem solving and decision making. Good communication skill both verbal and
\nwriting. Must be computer literate, valid driver\u2019s licence.<\/p>\n

DUTIES : Manage services and processes that support the core business of the hospital.
\nSupervise and control Service Level Agreement of Private Companies.
\nManagement of day to day maintenance budget. Maintenance planning,
\nmaintenance of capital and minor projects within the institution. Ensure that all
\nworks orders from the end-users are loaded on the Gauteng Department of
\nInfrastructure Development (GDID) e-maintenance system. Facility manager
\nmust capture and updated electronic data on a daily basis. Ensure that all
\ndefects are reported, monitored, completed and assigned to GDID \u2013 Chief
\nArtisan and Control Works Inspector. To render support and assistance with
\nhospital Equipment maintenance and stock control. Provide support to
\noccupational health and safety in the workplace. Ensure user friendly access to
\nfacilities and improve standards of physical conditions of all buildings on the
\npremises. Perform project management and supervision and coordinating work
\nof contractors. Accreditation signage according to prescribed regulation and
\nensures that the building meets the Health and Safety requirements. Ensure
\ncompliance with the necessary statutory requirements. To render planning and
\ncommissioning services within allocated budget, policies and procedures.
\nFacility manager will regularly participate in site meetings and inspections to
\nmonitor quality work standards for compliance. Assist with implementation and
\nmaintenance of the performance and development system for facility
\nmanagement staff. Manage infrastructure for security building. Liaison with
\ninternal and external stake holders.

REQUIREMENTS : A recognized three (3) years National Diploma\/Degree in Information systems
\nwith more than 3 years relevant experience or Grade 12 with more than 5 years
\nrelevant experience in Data capturing and Office management. Computer
\nliterate with extensive knowledge of MS- Excel, Microsoft Word and PowerPoint,
\nanalytical and numeric skills. Good Communication, presentation, interpersonal
\nand co-ordination skills. A valid driver\u2019s licence is compulsory. Extensive
\nknowledge of Medicom and HIS is advantageous.<\/p>\n

DUTIES : Take overall responsibility for all data management processes (collection and
\nanalysis) within the HIS Unit and submit to the accountable manager. Printing,
\nFiling of all printed and incoming reports and compiling of relevant monthly
\nreports. Managing ward statistics, comparing with system reports and give
\nfeedback to unit manager on a daily basis. Attend to internal and external
\npatient\u2019s information queries and give system support to all users. Monitor,
\nreporting, data quality performance and put in place on how to improve it. Make
\ndata available to staff and management. Analyze, interpret and present data to
\nmanagement for informal decision making. Building capacity of staff to collect,
\nanalyse and use of data. Monitor hospital indicators to determine the
\ndemographical trends and information management of any changes. Develop a
\nsystem for analyzing, evaluating and interpreting minimum data set and CEO
\nreports for hospital EXCO and Top management committee members. Writes
\nreports for management as and when required. Supervise and manage
\nsubordinates within the HIS unit. Management of all staff performance and

REQUIREMENTS : Appropriate 3 years National Diploma\/Degree with more than 3 years relevant
\nexperience or Grade 12 with more than 5 years experience in patient
\nRecords\/Registry and Archive management within the hospital environment.
\nGood writing skills, computer literate and driver\u2019s licence. Ability to work
\nindependently and in a team. Ability to communicate well with people at different
\nlevels. Ability to handle tasks of multidisciplinary nature. Knowledge of labour
\nRelations process. Supervisory experience will be an advantage.<\/p>\n

DUTIES : Supervise and monitor Patient Records and Archives staff, i.e. Record \/ Registry
\nand MVA Clerks, messengers, photocopy operators, etc. Provision of uniform
\nstandards for management of patient records. Conduct inspection on medical
\nrecords at institution. Provision of standards and procedures to ensure that
\ninformation is transmitted with appropriate security measures and control
\nmanagement of promotion of access to information. Ensure prudent
\nmanagement and decongestion and preservation of Patient filing room. Ensure
\nproper transfer to both paper and e-records to an archives repository.
\nManagement of registers. Ensure that all records are kept in safe in safe
\ncustody. Management of archives. Ensure transfer of semi archival records
\nfrom offices. Ensure that all preserved records meet safety standards prescribed
\nby NARS Act. Ensure that photocopy machines are in working condition at all
\ntimes. Ensure that postal services are done according to National Archives and
\nServices Act 43\/1996. Filing of documents daily. Distribution of weekly circular
\nlist to all EXCO members. Ensure that application forms for Human Resource
\nDepartment are collected from Post Office when a need arises. Provide
\nguidance and advice to subordinates. Provide weekly, monthly and statistics
\nreports given to the manager. Ensure that the PMDS evaluations of all officials
\nreporting to the Admin officer are done on a quarterly basis. Ensure that
\nsubordinates go on training (including in service training).

\nKnowledge of PFMA, Treasury Regulations, procurement Procedures and OHS.
\nGood supervisory skills, good interpersonal skills\u2019, organizing skills and Time
\nmanagement and leadership skills, computer literacy. Good communication skill
\nboth verbal and writing. Ability to lead, work in a team as well as alone, ability to
\nwork under pressure and meet the deadline.<\/p>\n

DUTIES : Supervise the daily activities of the logistics and support staff i.e. Security,
\nLaundry, Mortuary, Garden services etc. Compile a substitution roster in case of
\nsick\/absent officials. Conduct random inspection of all areas allocated to
\nlogistics and support to monitor the performance of staff. Monitoring adherence
\nto logistics and support procedures for officials randomly on a weekly basis.
\nCompile a weekly report for inspection. Check and confirm that all logistics and
\nsupport equipments is available and in good working condition. Ensure that the
\nrequired material is procured and timorously delivered. Ensue that the procured
\nstock and equipment is well managed and distributed. Complete and update the
\ninventory on a monthly basis. Ensure compliance to Occupational Health and
\nSafety policy and procedures and provide feedback thereof. Ensure that all
\nofficials have job descriptions and they are contracted. Ensure that the PMDS
\nevaluation s of all officials reporting to the Admin Officer are done on a quarterly
\nbasis. Compile a leave management plan in consultation with the logistics and
\nsupport staff. Conduct monthly meetings with the unit of officials. Provide
\nfeedback regarding problem resolutions. Compile the operational and
\nprocurement plan for the unit. Control and monitor logistics and support services
\nbudget. Ensure that the budget is spend according to the operational and
\nprocurement plan. Ensure that the requisition forms are completed and track the
\nprogress of the procured material weekly. Monitor and manage the procurement
\nand maintenance of equipments and stock required for logistics and support and
\nfiling.
