SENIOR SECRETARY GR III
\nChief Directorate: Corporate Services
\nSALARY : R 148 584 per annum, excluding benefits
\nCENTRE : Pretoria<\/p>\n

REQUIREMENTS : Qualifications: Applicants must be in possession of a Diploma in Secretarial
\nstudies\/Office Administration\/Management and related field with two years of\u00a0experience in the secretarial environment. Special requirements \/ skills needed:
\nExcellent interpersonal skills. Good communication skills (written and oral),
\nexceptional organising and planning skills. Ability to work independently, under
\npressure and in a team. Time management and pro-activeness. Problem solving
\nskills and results orientated individual. Computer literate (Microsoft Word, Power
\nPoint, Access and Excel). Job Knowledge: Report writing, compilation and
\ncollation of information from directorates. Advanced minute taking and
\ndevelopment of action plans. Credible and proven experience in the secretarial
\nand administrative function of an organisation.<\/p>\n

DUTIES : Provide secretarial support to the Chief Director: Corporate Services and general
\nadministration support to the Chief Directorate. Write routine notes, memos,
\nletters and reports. Maintain an effective filing and document tracking system
\n(electronic and physical). Manage the Manager\u2019s diary (electronic and manual)
\nand maintain an appropriate schedule for appointments. Develop new ideas to
\nchange existing procedures so as to improve filing, tasking and document
\ntracking. Create and maintain databases of internal and external stakeholders.
\nCoordinate effective internal and external meetings, appointments and events.
\nCompile agenda and take accurate minutes during meetings. Diary and calendar
\nmanagement. Receive visitors, and organise parking and refreshments. Handle
\ntravel and accommodation arrangements, subsistence & Travel (S&T) claims and
\nbudget cash flow information. Manage the leave register. Apply relevant Public
\nService and DoC policies and procedures. Budget and projections administration
\nfor the office of the Chief Director.<\/p>\n
