SENIOR SECRETARY GR III
\nDirectorate: Strategic Planning & Performance Management
\nSALARY : R158 985 per annum, excluding benefits

REQUIREMENTS : Qualifications: Applicants must be in possession of a Diploma in Secretarial
\nstudies\/Office Administration\/Management and related field with two years of
\nexperience in the secretarial environment. Special requirements \/ skills
\nneeded: Excellent interpersonal skills. Good communication skills (written and
\noral), exceptional organising and planning skills. Ability to work independently,
\nunder pressure and in a team. Time management and pro-activeness.
\nProblem solving skills and results orientated individual. Computer literate
\n(Microsoft Word, Power Point, Access and Excel). Job Knowledge: Report
\nwriting, compilation and collation of information from directorates. Advanced
\nminute taking and development of action plans. Credible and proven
\nexperience in the secretarial and administrative function of an organisation.<\/p>\n

DUTIES : Provide secretarial support to the Director: SPPM and general administration
\nsupport to the Directorate. Write routine notes, memos, letters and reports.
\nMaintain an effective filing and document tracking system (electronic and
\nphysical). Manage the Director\u2019s diary (electronic and manual) and maintain
\nan appropriate schedule for appointments. Develop new ideas to change
\nexisting procedures so as to improve filing, tasking and document tracking.
\nCreate and maintain databases of internal and external stakeholders.
\nCoordinate effective internal and external meetings, appointments and events.<\/p>\n

Compile agenda and take accurate minutes during meetings. Diary and
\ncalendar management. Receive visitors, and organise parking and
\nrefreshments. Handle travel and accommodation arrangements, subsistence
\n& Travel (S&T) claims and budget cash flow information. Manage the leave
\nregister. Apply relevant Public Service and DoC policies and procedures.
