REQUIREMENTS : A minimum of Grade 12\/NQF Level 4. Three to five (3-5) years experience in rendering a support service to senior management. Applicants with prior learning, either by means of experience or alternative courses may apply. Special requirements (skills needed): The candidates must be computer literate (i.e. Microsoft Word, Outlook\/Internet, Excel and PowerPoint. Good communication skills (written and verbal). Analytical and innovative thinking ability as well as problem solving skills. Sound organisation and time-management skills. High level of reliability and integrity. Ability to act with tact and discretion.<\/p>\n
DUTIES : Provide secretarial support services. Manage, capture, issue and track office correspondence, Record appointments and events. Manage the Director\u2019s diary. Receive telephone calls and refer to the correct role players. Write\/type documents, memorandums, letters and reports. Compile agenda\u2019s and take minutes during Director\u2019s meetings. Handle classified files and documents. Arrange meetings and events for the Manager. Process the travel and subsistence claims for the Director. Identify venues, invite role players, organise refreshments and set up schedules for meetings and events. Prepare briefings and notes for the Director as required. Keep a filling system. Coordinate logistical arrangements for visitors for the Director. Keep abreast with procedures and\u00a0processes that apply in the office of the Director and Department. Scrutinise documents to determine actions\/information\/other documents required for meetings and related obligations. Record all minutes\/decisions and communicate to all relevant role players and make follow-up on progress. Remain loyal to the organisation.<\/p>\n
