Our service and solutions are built on tried and trusted models, systems and processes that are based on best practice standards.<\/p>\n<p>We are passionate about people and our ability to attract the best talent, coupled with our rich history of success and innovation across different industries around the world, is what differentiates us from our competitors.<\/p>\n<p>The purpose of this position is to provide administrative and secretarial support to the Merchants SA Directors.<\/p>\n<p><strong>KEY PERFORMANCE AREAS<br \/>\n<\/strong><\/p>\n<ul>\n<li><u>Secretarial Services<\/u><\/li>\n<li>Manages calendars and diary commitments by scheduling or re-scheduling appointments, arranging venues and logistics and tracking attendance.<\/li>\n<li>Receives, refers or finalises telephonic enquiries on behalf of the Directors<\/li>\n<li>Answers calls and handles queries, escalating when necessary<\/li>\n<li>Orders stationery<\/li>\n<li>Prepares correspondence as required<\/li>\n<li>Scrutinizes written submissions\/reports and makes notes and\/or recommendations<\/li>\n<li>Performs advanced typing work, including preparation of PowerPoint presentations<\/li>\n<li>Ensures all templates are current and being appropriately utilised<\/li>\n<li>Responds to enquiries received and clarifies instructions and notes instructions.<\/li>\n<li>Files and ensures safekeeping of all confidential documents.<\/li>\n<li>Records minutes of meetings<\/li>\n<\/ul>\n<ul>\n<li><u>Event Co-ordination<\/u><\/li>\n<li>Researches appropriate venues for events<\/li>\n<li>Produces project check list for each event and manages against these requirements<\/li>\n<li>Provides accurate specifications to suppliers to meet event requirements<\/li>\n<li>Negotiates and manages payments to suppliers<\/li>\n<li>Co-ordinates logistical arrangements for meetings.<\/li>\n<li>Works within the budget provided<\/li>\n<\/ul>\n<ul>\n<li><u>Travel Co-ordination<\/u><\/li>\n<li>Makes bookings for all travel-related events<\/li>\n<li>Ensures all aspects of travel management are handled effectively and in keeping with budgetary and policy requirements.<\/li>\n<li>Prepares complex travel itineraries<\/li>\n<\/ul>\n<ul>\n<li><u>Administration<\/u><\/li>\n<li>Manages and reconciles expense claims.<\/li>\n<li>Prepares and logs Purchase Order Requisitions<\/li>\n<li>Keeps records of financial expenditure of the Directors<\/li>\n<li>Monitors expenditure and alerts the responsible Director of possible over\/under expenditure<\/li>\n<li>Records actions from meetings\/project meetings, and follows up on completion status for reporting purposes<\/li>\n<\/ul>\n<p><strong>Primary Location<\/strong><\/p>\n<p>MEA-South Africa<\/p>\n<p><strong>Recruiter<\/strong><\/p>\n<p>Paula Bowie<\/p>\n<p><strong><u>Here&#8217;s What We Are Looking For In Candidates For This Job<\/u><\/strong><\/p>\n<p><strong>Knowledge<br \/>\n<\/strong><\/p>\n<ul>\n<li>Matric<\/li>\n<li>3-5 years administrative experience, 2 of which is at Executive management level<\/li>\n<li>MS Word, Excel, PowerPoint advanced<\/li>\n<\/ul>\n<p><strong><u>Skills<br \/>\n<\/u><\/strong><\/p>\n<ul>\n<li>Attention to detail<\/li>\n<li>Teamwork (L2)<\/li>\n<li>Oral and Written Communication (L3)<\/li>\n<li>Planning and Organising (L3)<\/li>\n<li>Oral and Written Communication (L3)<\/li>\n<li>Collaboration<\/li>\n<li>Problem Solving (L1)<\/li>\n<\/ul>\n<p><strong>Attributes<br \/>\n<\/strong><\/p>\n<ul>\n<li>Pro-activity<\/li>\n<li>Confidentiality<\/li>\n<li>Tenacity (L2)<\/li>\n<li>Adaptability (L2)<\/li>\n<\/ul>\n","protected":false},"excerpt":{"rendered":"<p>Merchants is a leading BPO solution provider specialising in customer experience and customer interactions.
