Job Role:<\/strong><\/p>\n

The Team Assistant is responsible for providing comprehensive administrative support and service to the team in the designated areas. In particular he\/ she:<\/p>\n

\u2022Acts as a personal assistant and provides administrative support to the relevant Team Leads and team members.<\/p>\n

\u2022May provide back-up administration to other areas as advised.<\/p>\n

Key Accountabilities:<\/strong>
\n\u2022Performs general administration and secretarial duties for the department
\n\u2022Processes purchase orders for the team on ISP and does journal entries
\n\u2022Coordinates travel arrangements, accommodation and itineraries.
\n\u2022Initiates replies to routine correspondence and handles incoming\/outgoing mail
\n\u2022Assists with preparation of presentation materials.
\n\u2022Answers, screens calls and takes messages when the team members are out of office and ensures that messages are passed on to the right people accurately.
\n\u2022Arranges multi-party VC\u2019s, VT\u2019s and teleconferences.
\n\u2022Processes all payments to external parties and keep accurate records.
\n\u2022Deals with customer queries and re-direct them to the relevant staff.
\n\u2022Champions HSSE as a personal value and ensures HSSE is promoted in terms of actions and decisions. Maintains awareness of HSSE legislation and implements action plans to improve HSSE performance and compliance.
\n\u2022Continually identifies opportunities for improving process, business efficiencies and customer service.<\/p>\n
