SA-LED supports the Government of South Africa in its efforts to expand \u201cgreen growth\u201d in South Africa. The project aims to strengthen public sector-related development planning and project development capacity for low emissions projects, and increase public sector core competencies through technical assistance and learning activities to support green growth initiatives.<\/p>\n<p><strong>Job Title:\u00a0Administrative Assistant\u00a0<\/strong><br \/>\n<strong>Location:<\/strong> Pretoria<\/p>\n<p><strong>Main duties will include:<\/strong><\/p>\n<ul>\n<li>Procurement of goods and services for the project office.<\/li>\n<li>Management of the switchboard, relaying messages and welcoming guests.<\/li>\n<li>Management of relationships with local service providers and vendors ensuring that commodities and services are procured and rendered in accordance with USAID and Chemonics regulations.<\/li>\n<li>Liaison with primary services providers, including stationery suppliers, taxi services, hotels and etc.<\/li>\n<li>Arrangement of travel and hotel accommodation for all project-related interventions.<\/li>\n<li>Organizing business cards and allocation of cellular phones where needed.<\/li>\n<li>Organizing workshops and project functions by securing venues, ordering lunch and teas, drafting and sending invitations and agendas, the attendance registers and information packets when requested.<\/li>\n<li>Maintainance of files related to logistics and office premises.<\/li>\n<li>Implementation of controls related to finance files and ensuring that at least quarterly audits are being done to ensure compliance.<\/li>\n<li>Taking minutes for staff meetings.<\/li>\n<li>Updating Supplier Database and Staff Contact Details.<\/li>\n<\/ul>\n<p><strong>Qualifications, Knowledge, Experience and Attributes required:<\/strong><\/p>\n<ul>\n<li>Excellent communication skills and the ability to liaise at all levels.<\/li>\n<li>Excellent analytical ability and attention to detail.<\/li>\n<li>Strong negotiation skills.<\/li>\n<li>Ability to handle conflict.<\/li>\n<li>Strong interpersonal skills.<\/li>\n<li>Totally self-reliant and disciplined to follow through on assigned duties no supervision needed.<\/li>\n<li>Diplomatic and handling people with respect and dignity.<\/li>\n<li>Deadline driven.<\/li>\n<li>Unquestionable Ethics.<\/li>\n<li>Assertive.<\/li>\n<\/ul>\n<p><strong>Required Qualifications and Skills<\/strong><\/p>\n<ul>\n<li>Minimum Grade 12 Certificate.<\/li>\n<li>Tertiary Qualifications in Office Administration.<\/li>\n<li>Minimum 3 years\u2019 experience in office administration.<\/li>\n<li>Requires excellent computer skills (MS Excel, MS Word, PowerPoint and Outlook).<\/li>\n<li>Knowledge of VAT Reconciliation will be an advantage.<\/li>\n<li>Accounting experience and processing of financial transactions will be an advantage.<\/li>\n<li>Experience in working in a multi-cultural team.<\/li>\n<li>2 years\u2019 experience with foreign or international organizations, preferred.<\/li>\n<\/ul>\n<p><strong>Application Instructions<\/strong><\/p>\n<ul>\n<li>Send electronic submissions by June 15, 2018 to\u00a0<strong>info@southafricaled.com<\/strong>\u00a0and use \u201cAdministrative Assistant\u201d as subject.
