Since then it has developed several successful community-based psychosocial programmes including victim empowerment groups to assist marginalised groups of people including survivors of sexual and gender based violence to self-advocate and become agents of change in their communities.<\/p>\n<p><strong>Job Title:\u00a0Office Administrator<\/strong><br \/>\n<strong>Job Location:\u00a0<\/strong>\u00a0Cape Town<\/p>\n<p>This is a full-time position<\/p>\n<p>The purpose of the position is to deliver a range of coordination, administration and other support services to our community based teams, office staff, clients and other stakeholders.<\/p>\n<p>Responsibilities:<\/p>\n<ul>\n<li>Facilities Management, support core services\/processes of the building and premises<\/li>\n<li>Manage\u00a0office supplies and equipment, ensuring orders are timeously placed to avoid stock shortages or operational disruptions<\/li>\n<li>Deal with external contractors, obtaining quotes, maintaining a preferred suppliers list and adhering to procurement policies<\/li>\n<li>Manage cleaners schedule, replenishing cleaning supplies, overseeing waste disposal and recycling processes<\/li>\n<li>Event planning and co-ordination including graduations and AGM<\/li>\n<li>Coordinate\u00a0resource and material packs for community-based teams<\/li>\n<li>Ensure basic health and safety requirements are met<\/li>\n<li>Provide basic IT support service to users &#8211; troubleshooting, installing software, running updates, ensuring backups are completed, liaising with external IT service providers<\/li>\n<\/ul>\n<p>Financial Administration<\/p>\n<ul>\n<li>Issue and reconcile operational advances to staff members on a regular basis<\/li>\n<li>Manage multiple petty cash boxes and maintaining suitable records for outgoing expenses and ad hoc receipts in accordance with strict donor requirements<\/li>\n<li>Accurate recording and coding of expenses<\/li>\n<li>Work with finance manager to manage petty cash levels, completing petty cash requisitions, cash forecasting and investigating variances<\/li>\n<li>Issue social assistance vouchers, inventory management and working closely with social workers to forecast requirements<\/li>\n<li>Develop\u00a0and maintain\u00a0relationships with new donors and partners to secure donations in kind and maintaining existing relationships with current partners<\/li>\n<li>Assist finance department in maintaining fixed asset registers<\/li>\n<\/ul>\n<p>General administration<\/p>\n<ul>\n<li>Monitor\u00a0and manage\u00a0general email account, receive\u00a0and distribute\u00a0mail<\/li>\n<li>Meetings support (staff meetings, other team meetings, AGM) \u2013 coordinating arrangements, ensuring meeting invites are sent, generating minutes for circulation, delivering other meeting requirements<\/li>\n<li>Coordinate intern and volunteer arrangements<\/li>\n<li>Coordinate reception staff and reception relief schedules<\/li>\n<li>Ad hoc filing and archiving when required<\/li>\n<li>Provide\u00a0general administrative support to the Director in terms of staff welfare<\/li>\n<li>Coordinate daily and weekly data collection for input by data capturers<\/li>\n<li>Assist with social media and website content<\/li>\n<\/ul>\n<p>Requirements:<\/p>\n<ul>\n<li>Three to five years\u2019 relevant work experience<\/li>\n<li>Driver&#8217;s license and own transport<\/li>\n<li>Computer literate and competent Microsoft Office user (Excel skills will be tested in interview)<\/li>\n<li>Verbal communication and written skills<\/li>\n<li>An ability to prioritise, plan and organise work whilst in a busy environment<\/li>\n<li>Attention to detail<\/li>\n<li>General administration and basic financial skills<\/li>\n<li>Understanding of budgets and cost control<\/li>\n<li>IT helpdesk\/end user support experience or training\/education coordination experience advantageous<\/li>\n<li>Prior experience in the NPO sector and working with migrants and refugees<\/li>\n<li>Understanding of websites \/ CMS and social media channels<\/li>\n<li>A pro-active approach, ability to anticipate needs and deliver the required support<\/li>\n<li>Organised and structured, yet flexible when scheduling changes are necessary<\/li>\n<li>A willingness to learn new skills and to deliver work outside of own job scope<\/li>\n<li>Flexible in terms of working hours as required to meet the needs of the Project (some after hours and Saturday mornings may be required)<\/li>\n<li>Enthusiastic and a passion for the Adonis Musati Project\u2019s mission<\/li>\n<li>A professional and resourceful style, the ability to work independently and as a team player, to take initiative, and to manage multiple tasks and projects at a time<\/li>\n<li>Ability to work under pressure<\/li>\n<li>Mature disposition<\/li>\n<li>Presentable and professional with a good telephone manner<\/li>\n<li>Ensuring all tasks completed within deadlines and be accountable to make things happen<\/li>\n<\/ul>\n<p>To apply, submit your CV to\u00a0<strong>gahlia@adonismusatiproject.org<\/strong>\u00a0put \u2018Office Administrator\u2019 as the subject for your application.<\/p>\n<p>When applying please put your\u00a0intro\/cover\u00a0letter in the body of the email and include the following information:<\/p>\n<ul>\n<li>Up to date CV<\/li>\n<li>Why you would be interested in this role<\/li>\n<li>If you do not meet the Basic requirements, please let us know why you think we should consider you for this role<\/li>\n<li>Current salary or salary expectation<\/li>\n<\/ul>\n<p><strong>Application Deadline:\u00a0<\/strong>9th July, 2018.<\/p>\n","protected":false},"excerpt":{"rendered":"<p>The Adonis Musati Project (AMP) is a nonprofit organisation, which was formed in 2007, to assist the vulnerable asylum seeker and refugee populations in Cape Town.
