Project Administrator<\/strong>

Job Purpose:<\/strong>
\n\u2022 To provide the basic project management, co-ordination, administration and support required to assist various Retail Businesses land and implement projects and business as usual initiatives aligned to the ICS and strategic plans.<\/p>\n

Key Functions \/ Responsibilities
\nEffective Project Scope Management:
\n<\/strong>\u2022 To set up the required project and reporting structures.
\n\u2022 To develop and\/or track Scope of Work requirements for all projects where required.
\n\u2022 To identify and manage dependencies within projects.<\/p>\n

Effective Project Time Management:<\/strong>
\n\u2022 To monitor and ensure deliver of projects within agreed time, cost & quality.
\n\u2022 To ensure meetings are scheduled and that minutes are accurate and distributed within required turnaround times.
\n\u2022 Monitor outstanding items.<\/p>\n

Effective Project Quality Management:<\/strong>
\n\u2022 Evidence of accurate Processes and minutes.
\n\u2022 To apply project management methodologies and standards to all related areas of responsibility.<\/p>\n

Effective Project Risk Management:<\/strong>
\n\u2022 To set up risk & issue logs and monitor on an on-going basis.<\/p>\n

Living the Values, Staff Morale, Effective Direct Report Management Survey Results:
\n<\/strong>\u2022 360 Feedback on values.
\n\u2022 Compliance to Performance Management.
\n\u2022 To provide support to Programme Managers and the greater ICS\/AC team when and where required.<\/p>\n

Personal Development:
\n<\/strong>\u2022 Evidence of Training and Development Plan.<\/p>\n

Effective Project Integration Management:<\/strong>
\n\u2022 Alignment to all Project Methodology.
\n\u2022 To capture, load, track update and monitor all project related documents and information on the required systems.
\n\u2022 To provide input into and administer project budget where applicable.<\/p>\n

Effective Project Communications Management:<\/strong>
\n\u2022 To build relationships and proactively manage sponsors and stakeholders expectations and to solicit their cooperation.
\n\u2022 To provide sponsors and stakeholders with regular project reporting \/ status updates and relevant information.
\n\u2022 To build relationships with and manage external partners and vendors, including the escalation of vendor non-performance.<\/p>\n

Acceptable Risk Environment:
\n<\/strong>\u2022 Department: Internal Audit (HR practices, Financial BC Planning, OHS, Risk & Compliance Training).<\/p>\n

Administrator:<\/strong>
\nProvides operational support and quality administrative services to the area of operation focusing on:
\n\u2022 Managing diaries wrt meeting requests.
\n\u2022 Scheduling of meetings and all logistics related to the meetings \u2013 venue, catering (if required), booking parking etc.
\n\u2022 Minute taking, printing of packs, minutes etc.
\n\u2022 Managing of shared folders for the team according to audit requirements.
\n\u2022 Chasing up on outstanding actions \/ matters arising from governance forums.
\n\u2022 Draw existing standard reports and compilation of packs.
\n\u2022 Update communications calendar.
\n\u2022 Booking all our travel.
\n\u2022 Processing invoices.
\n\u2022 Attend meeting on manager behalf and take minutes \/ action items.<\/p>\n

Requirements:<\/strong>
\n\u2022 Matric\/Grade 12 plus Administrative qualification
\n\u2022 Project Management Diploma or Degree
\n\u2022 Preferably 1-2 years Project Assistant and Project Coordination experience, as well as the ability to manage small projects. Experience on large Portfolio Projects would be advantageous.<\/p>\n
