The strong entrepreneurial and ethical vision developed by our founder and chairman is shared by our Executive team who have almost 100 years of combined experience within the Financial Services and contact centre industry in Europe and South Africa.<\/p>\n<p>With an ever growing employee complement of over 700 it goes without saying that we are a people business; employees, clients and partners are our number one focus<\/p>\n<p><strong>Job Title:\u00a0<\/strong><strong>Senior Executive Personal Assistant<\/strong><\/p>\n<p><strong>Job Location: <\/strong>Umhlanga, KwaZulu-Natal, South Africa<\/p>\n<p><strong>Specification<\/strong><br \/>\n\uf0a7Gain understanding of costing structures and requirements of documentation<br \/>\n\uf0a7Ensure that all necessary quality checks are done<br \/>\n\uf0a7Assist and be a support resource to the rest of the team<br \/>\n\uf0a7Organise all travel arrangements (transport, accommodation, car hire) for C-Suite team as and when necessary<br \/>\n\uf0a7Liaise closely with internal and external clients to manage all scheduling of day-to-day appointments and tasks for C-Suite<br \/>\n\uf0a7With a minimum of information, anticipate priorities and schedule accordingly<br \/>\n\uf0a7Plan ahead in scheduling recurring events<br \/>\n\uf0a7Prioritize appointments and make adjustments if required and inform relevant parties timeously<br \/>\n\uf0a7Demonstrate assertiveness when necessary when prioritising demands<br \/>\n\uf0a7Put reminders into C-Suite team members diaries ahead of deadlines to be met and correspond accordingly<br \/>\n\uf0a7Co-ordinate conference calls and ensure all links are in place and working order<br \/>\n\uf0a7Book meeting venues<br \/>\n\uf0a7Check expense claims and credit card allocations, obtain authorisation and send to Finance for payment<br \/>\n\uf0a7In the case of personal business claims, collate slips, draw up templates, match slips to items and submit to Finance for payment<br \/>\n\uf0a7Raise purchase orders within the financial system<br \/>\n\uf0a7Maintain an accurate log of orders raised<br \/>\n\uf0a7Process invoices within the financial system<br \/>\n\uf0a7Maintain an accurate log of invoices processed<br \/>\n\uf0a7Conduct related follow up activity in relation to the delivery of orders and payment of invoices<br \/>\n\uf0a7Co-ordinate meetings\/events within budget<br \/>\n\uf0a7Book boardrooms\/venues as required and ensure required equipment is available as needed<br \/>\n\uf0a7Compile agendas and ensure that they are effectively distributed<br \/>\n\uf0a7Invite and confirm attendance of invitees to meetings and confirm manager\u2019s attendance to meetings<br \/>\n\uf0a7Ensure manager is timeously provided with necessary information to be well prepared for meetings<br \/>\n\uf0a7Ensure refreshments are timeously provided<br \/>\n\uf0a7Take minutes where required<br \/>\n\uf0a7Draft necessary correspondence where required<br \/>\n\uf0a7Project a professional company image through face-to-face, electronic and telephonic interaction<br \/>\n\uf0a7Structure and maintain accurate, detailed and orderly electronic and paper-based filing systems<br \/>\n\uf0a7Plan, organise and control the activities of 1 team member<br \/>\n\uf0a7Ensure availability of administrative service to the C-Suite on a continuous basis<\/p>\n<p><strong>Requirements<\/strong><br \/>\nQualifications &amp; Experience Requirements:<\/p>\n<p>Grade 12, Secretarial Diploma Advantageous<br \/>\nA minimum of 8 years supporting C-Suite Executives in a fast paced environment<br \/>\nIntermediate to Advanced competence in the use of the MS Office Suite, Adobe Acrobat, and the use of the Internet<\/p>\n<p><strong>Key Outputs:<\/strong><\/p>\n<p>1.Prepare documentation for organisational publication and\/or presentation<br \/>\n2.Coordinate travel<br \/>\n3.Manage C-Suite Diaries<br \/>\n4.Process expenses and maintain related controls<br \/>\n5.Coordinate meetings, events and workshops<br \/>\n6.Liaise with internal and external stakeholders<br \/>\n7.Devise and maintain office management systems<br \/>\n8.Supervise People<\/p>\n<p><a href=\"https:\/\/jb.skillsmapafrica.com\/Account\/Login?ReturnUrl=%2FCandidate%2FFullRegistration%3FJobKey%3D118ec5baf2a442c8be3184a304102601%26isApplication%3D1&amp;ReturnUrlWithProfile=%2FJob%2FIndex%2F30486%3FAutoApply%3DTrue\"><strong>Click Here To Apply<\/strong><\/a><\/p>\n<p><strong>Application Deadline:\u00a0<\/strong>2nd June 2019<\/p>\n","protected":false},"excerpt":{"rendered":"<p>Established in 2010, Talksure has fast become one of South Africa\u2019s most respected independent Financial Service Providers.
