with Receptionist duties<\/strong><br \/>\n<strong>Location: <\/strong>Cape Town<br \/>\n<strong>Opportunity period:<\/strong> Full-time<br \/>\n<strong>Starting Date:<\/strong> Early\u00a0October 2019.<\/p>\n<p>As the first point of contact with the organisation, the purpose of the administrator\/bookkeeper is to provide a professional and friendly welcome both in person and on the switchboard to all partners, clients, members of the public and EMG colleagues.<br \/>\nRemuneration: Market related salary dependent on experience level<\/p>\n<p><strong>Responsibilities:<\/strong><\/p>\n<ul>\n<li>Administrator\/bookkeeper duties include:<\/li>\n<li>Support to Finance Manager to ensure that all stipulated EMG financial, procurement and human resource processes are followed in accordance<\/li>\n<li>Processing and payment of invoices as instructed by the Finance Manager<\/li>\n<li>Capturing of financial entries on QuickBooks<\/li>\n<li>Perform monthly bank reconciliations and\u00a0 project advances<\/li>\n<li>Process journal entries and any other ad hoc duties as requested by Finance Manager and Project Managers<\/li>\n<li>Managing of EMG Petty Cash, including managing receipts and reconciling petty cash records accurately and timeously<\/li>\n<li>Assist Financial Manager in maintaining the EMG Funder Database, EMG Asset Register and EMG Financial Policies and Procedures and Employment Policy and Procedures manuals<\/li>\n<li>Liaise with service providers to ensure upkeep of EMG office maintenance e.g. alarm company, telecommunications and internet service providers, insurance, recycling services etc.<\/li>\n<li>Supporting operational staff with regard to booking of transport, flights, accommodation and venues for official travel in accordance with EMG procurement policy processes<\/li>\n<li>Support to the Board of Trustees, Executive Director and staff for organisational meetings \u2013 scheduling, minute-taking and providing refreshments and lunches<\/li>\n<li>Keeping meeting room diary for staff workshops and events<\/li>\n<li>Management and maintenance of official documentation including staff leave records, claim forms, expense forms etc.<\/li>\n<li>Maintaining and updating service provider contacts records<\/li>\n<li>Office security \u2013 including keeping record of office key holders and key receipt for key\u00a0 holders<\/li>\n<li>Maintaining the EMG Inventory \u2013 asset register management<\/li>\n<li>Receptionist duties include:<\/li>\n<li>Managing the EMG switchboard and answering service \u2013 answering and transferring telephone calls, taking messages and recording calls accurately<\/li>\n<li>Front of house meet and greet, screening and monitoring all visitors to the office<\/li>\n<li>Responsibility for office postage, courier services, procurement and renewals\/registering online for office business etc.<\/li>\n<li>General house-keeping \u2013 supervision of EMG office cleaner, ensuring a clean and well-maintained office environment &amp; purchasing of house-keeping materials<\/li>\n<li>Ordering of office stationery, maintain a system of stock control for ordering stationery and ensuring stationery supplies remain stocked<\/li>\n<\/ul>\n<p><strong>Requirements:<\/strong><\/p>\n<ul>\n<li>At least 2 years\u2019 experience as a professional receptionist<\/li>\n<li>Diploma\/Certificate in Office Administration, or equivalent<\/li>\n<li>Effective communication skills in English (spoken, written, reading)<\/li>\n<li>Competence and experience using Microsoft Office suite (Outlook, Word, Excel) and QuickBooks accounting \u00a0or any other accounting software<\/li>\n<li>Experience of bookkeeping and financial compliance is an essential requirement.<\/li>\n<li>Additional computer skills would be an advantage e.g. PowerPoint, WordPress<\/li>\n<li>Proven track record of ability to communicate well with people<\/li>\n<li>You will be a good fit with the rest of EMG if you are also:\n<ul>\n<li>Self-motivated and flexible<\/li>\n<li>Friendly and willing to participate in team activities<\/li>\n<li>Innovative and creative<\/li>\n<li>Fair minded and practical<\/li>\n<li>Speak additional South African languages<\/li>\n<\/ul>\n<\/li>\n<\/ul>\n<p>You should be a South African
