{"id":51470,"date":"2020-01-20T20:10:36","date_gmt":"2020-01-20T18:10:36","guid":{"rendered":"https:\/\/joblistsouthafrica.com\/?p=51470"},"modified":"2020-01-20T20:10:36","modified_gmt":"2020-01-20T18:10:36","slug":"executive-secretary-to-director-at-headhunters-2020","status":"publish","type":"post","link":"https:\/\/joblistsouthafrica.com\/executive-secretary-to-director-at-headhunters-2020.html","title":{"rendered":"Executive Secretary to Director at Headhunters 2020"},"content":{"rendered":"<p><strong>Our client in the automotive industry based in Uitenhage is currently looking to employ and Executive Secretary.<\/strong><\/p>\n<p><strong>Job Description<\/strong><\/p>\n<p><strong>Job Title: Executive Secretary to Director<\/strong><\/p>\n<p><strong>Responsibilities:<\/strong><\/p>\n<p><strong>Responsible for providing an extremely high level of professional administration services to the Director\u2019s office, the position entails:<\/strong><\/p>\n<ul>\n<li>Coordinate the Director\u2019s respective diary, handle incoming and outgoing communication and re-route to appropriate departments when necessary<\/li>\n<li>Respond to routine correspondence within limits of authority<\/li>\n<li>Screen all incoming calls, act as intermediary for Director within established guidelines and re-route issues which could be handled by the Director\u2019s subordinates<\/li>\n<li>Screen all visitors to the office of the Director<\/li>\n<li>Ensure the smooth running of the office in the Director\u2019s absence by either handling or delegating important matters<\/li>\n<li>Interpret and implement the Director\u2019s instructions and administrative requirements<\/li>\n<li>Prepare professional, accurate, and high quality electronic presentations and documentation<\/li>\n<li>Arrange and coordinate meetings \/ workshops with the company employees and external delegates<\/li>\n<li>Make local and international travel reservations and itinerary bookings, including arranging appointments<\/li>\n<li>Prepare and process local and overseas travel expense claims<\/li>\n<li>Keep a comprehensive filing system for the division and action all routine office administration, i.e. leave absence reports<\/li>\n<li>Coordinate the Management update for the Division<\/li>\n<li>Provide administrative support on special projects<\/li>\n<li>Raise divisional orders for monthly invoices<\/li>\n<\/ul>\n<p><strong>Minimum Requirements:<\/strong><\/p>\n<ul>\n<li>Hold a relevant 3 year tertiary qualification in Business Administration from a recognised institution<\/li>\n<li>Sound office or business administration experience, of at least three years\u2019 experience<\/li>\n<li>Display excellent typing skills and end-user computer proficiency (i.e. MS Word, Excel, PowerPoint and Microsoft Outlook) combined with advanced electronic report and presentation preparation skills<\/li>\n<li>Have well-developed communication skills, both written and oral, with an excellent command of the English language.<\/li>\n<li>German language proficiency advantageous<\/li>\n<li>Have good interpersonal skills<\/li>\n<li>Have the ability to perform effectively under pressure<\/li>\n<li>Have the ability to work on own, display initiative and take accountability for own actions<\/li>\n<li>Present with a professional demeanor, be diplomatic and display an appropriate understanding of cultural diversity<\/li>\n<li>Be flexible to work outside of normal office hours when required<\/li>\n<li>Have an excellent attendance record<\/li>\n<li>Display good organizing and planning skills, with strong attention to detail<\/li>\n<li>Be able to maintain confidentiality and integrity<\/li>\n<\/ul>\n","protected":false},"excerpt":{"rendered":"<p>Our client in the automotive industry based in Uitenhage is currently looking to employ and Executive Secretary.
