SBV currently seeks a Head of PMO, who will be responsible for the overall project management function within SBV, providing leadership, coordination and management of the Project Management Office processes and functions inclusive of deriving added value and tracking benefits.<\/p>\n

The role serves as a conduit for communication between project managers, business, project owners, IT and Stratco who make the strategic decisions for those projects.<\/p>\n

Job Summary:<\/strong>
\nEstablish, Implement Embed and Continuously Improve Project Methodologies and Governance Frameworks
\n\u2022Establish, maintain and review a program baseline or the \u201croad map” for implementation of a project.
\n\u2022Responsible to ensure the methodologies of the Project Management Office are adopted and engrained within SBV in order to effectively improve and maintain the Project Management Office maturity within the company.
\n\u2022Lead the implementation and management of portfolio, programme and project governance frameworks and development of appropriate reporting tools which deliver value.
\n\u2022Responsible to maintain and reiterate the administration for project submissions and approvals through the agreed portfolio prioritisation and approval process, maintaining a pipeline of approved projects.
\n\u2022To provide full governance & control over projects utilising an agreed methodology and consistent standard \u2013 i.e. PMBOK and Agile.
\n\u2022Verify that project communication strategy is agreed upon, shared with and adhered to by all project stakeholders (internal and external).
\n\u2022Confirm that an applicable change methodology has been applied to projects in order to support the implementation.
\n\u2022Guarantee a clear and consistent approach is in place to manage risk with alignment to the applicable Risk and Project Registers.<\/p>\n

Oversee the management the overall Portfolio:<\/strong>
\n\u2022Oversee the execution of Portfolio management and provide approval of reports that are to be presented at Executive Level and Project Portfolio Board.
\n\u2022Provide an analysis of the full portfolio and future pipeline for the next financial year \u2013 annual and quarterly planning.
\n\u2022Prioritisation with Executives and Project Portfolio Board. Provide the optimal structuring of portfolio into programs and projects.
\n\u2022Manage the end to end portfolio critical path across the full portfolio.
\n\u2022Oversee and manage the alignment of delivery resources to portfolio demand.
\n\u2022Provide feedback and manage expectations with executive stakeholders regarding any portfolio delivery constraints.
\n\u2022Conduct skills matching and differentiation for the portfolio structure.
\n\u2022Ensure sound governance and control of project expenditure across the portfolio.
\n\u2022Ensure escalation of portfolio level risks to the appropriate Risk and Audit Committees.<\/p>\n

Manage Project Delivery and Governance Accountability:<\/strong>
\n\u2022Own the development, introduction, and on-going iteration of the organisation\u2019s Project Delivery Approach, gaining the required approvals where need be.
\n\u2022Be an advocate of the organisations Project Delivery Approach.
\n\u2022Scope and shape the requirements of the Project Delivery Approach across the organisation working closely with Stratco And the Senior Leadership team.
\n\u2022Devise, produce and implement new systems and processes to optimise more effective project management as required and within the framework of the organisations Project Delivery Approach.
\n\u2022Conduct due diligence on any future business proposals in terms of risk, timing, and outcome.
\n\u2022Oversee that Project managers are managing their day to day projects in accordance with SOPs and best practice guidelines.
\n\u2022Accountable for verifying that detailed project, implementation, or actions plans are created for the duration of each project as appropriate.
\n\u2022Accountable for verifying that projects have requirements documented and agreed to ensure that project activity meets agreed project objectives.
\n\u2022Monitor the progress of all projects to determine that they are timely and accurate and enable sponsors and stakeholders have visibility and sufficient information to make the required decisions.
\n\u2022Run the Project Portfolio Boards or Steering Groups.
\n\u2022Accountable for mitigating, resolving, and identifying risks, issues and dependencies are being recorded, monitored and proactively managed to minimise disruption to successful delivery.
\n\u2022Participate in project reviews, approvals, and gating processes.
\n\u2022Accountable for verifying that the appropriate and relevant level of testing is in place for all projects e.g. system, regression, UAT with stakeholder sign-off as part of the gating process.
\n\u2022Produce agreed levels of Portfolio reporting on all projects being delivered or within the oversight of the Project Management Office.
\n\u2022Deliver an effective and timely schedule of project communications liaising with the relevant Sponsors and stakeholders including the Communications Team.
\n\u2022Drive organisational culture of compliance to project governance.<\/p>\n

Take responsibility for reliable, accurate and timeous Project Tracking:<\/strong>
\n\u2022Responsible to critically audit or track ongoing projects at regular intervals to ensure projects are on course and follow the approved methodology.
\n\u2022To critically review project planning and analysis – including detailed budgeting, project plans, documenting scope and business requirements, etc.
\n\u2022To identify, track, manage and mitigate risks within the programme of work; including opportunity identification
\n\u2022To manage and monitor the programme of work; assigning responsibilities and ensuring that all projects are adequately resourced.
\n\u2022To manage and monitor the budget to ensure that the programme of work, along with specific projects are delivered within agreed costing<\/p>\n

Drive Financials & Benefits Realisation:<\/strong>
\n\u2022Liaise closely with applicable stakeholders to ensure accurate & robust budget monitoring against project plans
\n\u2022Certify that a robust process of notification or escalation is in place to report on both underspend and potential overspend with the appropriate approvals sought for either situation
\n\u2022Prepare, or support the team, to tender specifications for the external commissioning of work packages as delivery components of projects where appropriate
\n\u2022Track and monitor benefits realisation against planned targets taking correct actions where required
\n\u2022Verify that post project reviews are in place and include lessons learnt exercises which identify both positive and negative outcomes to be actioned
\nEnforce effective Project Support and Administration Oversight
\n\u2022Responsible to confirm that the Project Management Office provides a centralized customer focused office that not only plans, negotiates and analyse projects, but also redress the project related concerns of the client, sponsor, and employee.
\n\u2022Own the Project Management Office central repository of documentation and processes including the PM Toolkit.
\n\u2022Create standardised and relevant document templates are available from a central repository for both the Project Management Office and business project team members.
\n\u2022Establish organisation wide project reporting with a focus on value added advice and early identification and resolution of risk and issues.
\n\u2022The Project Management Office provides training in project management and the applied project tools to team members:
\n\u2022Drive the ethos that the Project Management Office provides in-house consultancy services to the project team on project related issues.
\n\u2022Review and in some cases prepare materials as required for submission to the Board etc.
\n\u2022Present and report on programme and specific project progress in line with agreed project governance; escalating issues as necessary to the Project Board.
\nEffectively manage Stakeholder Relationship Management and provide Subject Matter Expertise
\n\u2022Establish and maintain close working relationships with internal and external contacts.
\n\u2022Influence internal stakeholders to achieve the desired outcomes, including process improvement, of the Project Management Office.
\n\u2022Coach and mentor project sponsors and managers.
\n\u2022Provide input into the design and creation of new product\/ service developments and manage the implementation these.
\n\u2022Continually develop and maintain productive working relations with all project stakeholders (internal and external).
\n\u2022Provide advice and support to project partners on how project evidence and information has to be presented and reported.<\/p>\n

Provide Leadership and Manage Employees:<\/strong>
\n\u2022Represent the Project Management Office at executive and senior management level.
\n\u2022Provide leadership to employees within SBV.
\n\u2022Creates a conducive environment which translates into productivity and high morale within SBV.
\n\u2022Inspire one\u2019s team to deliver on key performance areas.
\n\u2022Develop the talent management pipeline from end to end by providing an appropriate resource strategy to identify and develop talent within the Project Management Office.
\n\u2022Provide growth and development opportunities to the Project Management Office team to be able to deliver in accordance with the Project Management Office mandate.
\n\u2022Provide project resources with the correct toolsets and processes in place and that all relevant staff are trained and equipped to deliver successfully.
\n\u2022Mentor junior Project Management Office resources and provide ad-hoc support, development activity and professional training programmes to assist them in the delivery of work.
\n\u2022Manage the recruitment of Project Management Office resources as required to administer the successful delivery of the project portfolio.
\n\u2022Manage and develop the Project Management Office team by providing performance feedback and goal setting; conducting annual performance assessments and skill development and training.
\n\u2022Conduct appropriate consequence management by holding members of the Project Management Office accountable for any mismanaged deliverables or poor performance.
\n\u2022Encourage knowledge transfer and lessons learnt activities within the Project Management Office and business project teams to drive best practice.
\n\u2022Adhere to legislative requirements and Group policies and procedures.
\n\u2022Leading the focus on talent to instil value creation for high value contributors.
\n\u2022Manage one\u2019s headcount in alignment with the principles and policies of SBV on a monthly basis. Inclusive of notifying HR of team cancellations, new business and new initiatives with the relevant documentation \/approvals.
\n\u2022Preside over disciplinary hearings on behalf of SBV in alignment with statutory requirements and the policies & procedures of SBV.
\n\u2022Lead and manager the Talent Management Process within department.
\n\u2022Adhere to legislative requirements, company policies and procedures in respect of employment Health and safety practices.
\n\u2022Manage overtime of the department through proper planning and staff rotation inclusive of driving the time and attendance system within the department.
\n\u2022Responsible for employees to undergo the relevant training inclusive of any mandatory refreshers in conjunction with the Training Academy.
\n\u2022Draft and execute training plans in conjunction with the Training Academy.<\/p>\n

\n\u2022Manage the integration of CIT and Processing into a seamless end to end solution for customers
\n\u2022Effectively communicate and embed new processes and procedures as they occur addressing or escalating matters \/ concerns to the SME\u2019s (subject matter experts) when required
\n\u2022Facilitate the necessary presentations, workshops or forums in order to ensure consistent and accurate communication is given across one\u2019s centre\/s<\/p>\n

Requirements:<\/strong>
\nWork Experience:<\/strong>
\n\u202212 years\u2019 experience working in a Project environment of which:
\n\u20224 years project management experience managing the delivery of large complex projects inclusive of resources (people, costs, hardware, software).
\n\u20224 years program management experience managing the delivery of large complex programmes inclusive of resources (people, costs, hardware, software).
\n\u20224 years running a Project Management Office (including accountability for developing, implementing, and managing Project Management Office governance, people management).
\n\u2022Proven track record of successful delivery
\nRequirements<\/p>\n

Education:<\/strong>
\n\u2022Bachelor’s degree in a related area (Business, Science, IT or equivalent)
\n\u2022Project management qualification including PMBOK or PRINCE2 practitioner; Agile (advantageous)
\n\u2022Foundational knowledge of organisational strategy
\n\u2022Foundational knowledge of supply chain management and logistics
\n\u2022Foundational knowledge of technical \/ system deployments
\n\u2022Foundational knowledge of enterprise architecture, information management and technology
\n\u2022Foundational knowledge of new digital technologies
\n\u2022Master\u2019s degree \/ MBA (advantageous)
