\nManage and oversee the governance surrounding the PMO Playbook
\n\u2022Responsible for creating and compiling the PMO Playbook and submit to the Head of PMO for approval and implementation.
\n\u2022Responsible for compiling, reviewing and submitting bi – annual cross functional reviews to Stratco.
\n\u2022Responsible for updating and maintaining any published PMO processes and procedures where necessary and based on project learnings.
\n\u2022Manage the publication of the PMO playbook by standardising processes and templates.
\n\u2022Arrange and coordinate the necessary workshops to provide training and orientation to the entire PMO on the PMO Playbook and the implementation thereof.
\n\u2022Accountable for monitoring all governance processes within the PMO and make the necessary changes to processes based on project learnings.<\/p>\n
\n\u2022Act as the primary interface between the Finance Department and PMO.
\n\u2022Responsible for managing any PMO funding requests and obtaining the accompanying approvals from the Head of PMO.
\n\u2022Responsible for portfolio aggregation of project financials and monitoring thereof.
\n\u2022Responsible for monitoring the PMO budget as well as making the relevant reconciliations for the PMO.
\n\u2022Manage the PMO budget overrun and escalation at portfolio level for the PMO.
\n\u2022Escalate any financial errors with immediate action to the Head of PMO.<\/p>\n
\n\u2022Act as the single point of contact between PMO and The Academy for all queries, trainings and service offerings
\n\u2022Manage the PMO budget that relates directly to The Academy, this includes but is not limited to:
\n\u2022Obtain and manage the invoicing and quoting process on behalf of the PMO.
\n\u2022Conduct regular spend reconciliations related to The Academy to monitor the PMO expenditure therein
\n\u2022Conduct and review integrated planning for The Academy for the PMO.
\n\u2022Create, maintain and monitor a training registry.<\/p>\n
\n\u2022Create, manage and monitor the Portfolio Risk Register for PPB.
\n\u2022Submit the Portfolio Risk Register to PPB on a monthly basis for oversight on risks and learnings gained from projects.
\n\u2022Any material risk that is identified is to be escalated to the Head of PMO with immediate action.
\n\u2022Collaborate with the Risk Department to provide feedback on the Portfolio Risk Register to highlight potential risk and
\n\u2022learnings from projects.<\/p>\n
\n\u2022Coordinate any audits with the audit team on a bi-annual basis.
\n\u2022Responsible for providing the audit team with access to the required artefacts.
\n\u2022Act as the interface between the PMO and Audit Team.<\/p>\n
\n\u2022Drive the department\u2019s values while inspiring confidence and generating excitement, enthusiasm and commitment towards the mission.
\n\u2022Serve as a leader of the culture program driving the desired behaviours and encouraging employee engagement
\n\u2022Create and implement strategies in collaboration with Change Management & HR to evaluate and maintain employee satisfaction
\n\u2022Drive Transformation and BBB-EE initiatives to ensure sustainable alignment to the company scorecard<\/p>\n
\n\u2022Act as a change management architect in periods of change to ensure continuity to operations
\n\u2022Manage the integration of CIT and Processing into a seamless end to end solution for customers
\n\u2022Effectively communicate and embed new processes and procedures as they occur addressing or escalating matters \/concerns to the SME\u2019s (subject matter experts) when required
\n\u2022Facilitate the necessary presentations, workshops, or forums in order to ensure consistent and accurate communication is given across one\u2019s centre\/s<\/p>\n
\nWork Experience:<\/strong>
\n\u20225 years\u2019 experience of portfolio administration of which 3 year managing a project portfolio
\n\u2022Working knowledge of MS Office and MS Project
\n\u2022Working on projects whilst applying a formal project management methodology \u2013 preferably PMBOK
\n\u2022Experience in tracking and reporting on project budgets on a portfolio level
\n\u2022Experience in set-up and updating of project plans and project progress reports
\n\u2022Experience in project administration \u2013workshops, project deliverables at a portfolio level<\/p>\n
